Job Description

An amazing opportunity to work for one of Londons leading property advisors. My client is a high end property business operating across Central London. They are looking for a highly motivated and capable Office Manager to join their busy central Londonoffice.This exciting role will be working with the Head of Operations and Managing Director to provide the best support to their sales and lettings teams across all of their offices. Additionally you will be overseeing 3 other Office Coordinators on a day to daybasis.Tasks and responsibilities include:

  • Working closely with the branch manager and other managers to assist where necessary
  • Help streamline admin processes for both sales and lettings
  • PA duties to MD - diary management, booking meetings, taking calls on MDs behalf, booking travel, preparing meeting agendas and reports and handling expenses, expenditure and invoices.
  • Oversee compliance, referencing, right to rent checks, AML checks, certificates, marketing and keys across all offices.
  • Provide a high level of customer service at all times when greeting visitors and clients into the office and on the phones and ensuring the office is well maintained
  • Manage the internal property portal and ensure compliance with relevant legislation
  • Work with the Office Coordinators to produce property marketing materials for the offices
  • Ensuring the website is kept updated
  • Assist in the day to day maintenance in the office by ensuring stock is kept at a reasonable level and any technical issues are reported efficiently
  • Daily clerical duties when required and be on hand to assist when needed
  • Ensure that all relevant data is entered and available on the companies CRM portal
  • Ensure that the property adverts are up to date and old ones are removed when applicable
  • Organise and liaise with photographers for property photos.
  • Help organise company events, socials and meetings.
  • PA duties to MD
Ideal attributes & experience required:
  • Strong administration skills: 2 - 3 years minimum
  • Previous property administration experience highly desired
  • Previous marketing admin experience or experience working with marketing agencies is favourable.
  • Previous experience using Reapit is highly desired.
  • Previous experience working in the Central London market would be advantageous.
  • Excellent communication skills - both written and verbal
  • Highly organised
  • Proactive, results orientated and analytical
  • Approachable with good mentorship and leadership skills
  • Ability to work well under pressure
  • Ability to work in a fast-paced setting
  • Previous experience working with senior members of staff
