Office ManagerAcid Survivors Trust InternationalShoreditch, London - In office or hybridFlexible hoursUp to £30,000Charity People is delighted to be working exclusively with Acid Survivors Trust International, a growing and unique small charity with high impact as one of the only organisations in the world that helps survivors of acid violence and campaigns for human rightsand law change internationally.As Office Manager, you will be involved in the Quality Assurance process, onboarding and recruitment of new staff and play a fundamental role in the incredible work Asti does. Office management and administration* Ordering and maintenance of office stationary, consumables and equipment* Deal with all office contracts including landlord, broadband/phone systems and website * Answer phones, monitor organisational email accounts, respond to enquiries from members of the public, forward relevant emails/information to ED etc * Identify and record media reports of acid violence, updating statistics and information about laws where necessary* Record and file invoices - both paper and electronic, send on to relevant parties i.e. accountant* Liaise with ASTI accountants providing them with relevant information around donations, Gift Aid, and payment of invoices etc * Ad-hoc administrative duties * Organise and attend ASTI events as and when necessaryAdministrative support to the Executive Director* Provide necessary administrative support in areas of fundraising, marketing and programming to the Executive Director and fundraiser * Arrange meetings, travel and accommodation for ED * Occasional ad-hoc research for projects/ED* Occasional liaison with vulnerable adults i.e. acid attack survivors, requires sensitive and tactful interpersonal skills * Attending and minute-taking of trustee meetings as appropriatePerson SpecificationExperience* Competent user of Microsoft Office including Word, Outlook, Excel and PowerPoint (essential)* Experience of setting up and maintaining effective office systems and procedures that improve work performance (desirable)* Excellent written and oral communication skills (essential)* Experience working with internal and external stakeholders i.e. trustees, donors, vulnerable adults, accountants etc (highly desirable)* Experience working or volunteering in the charity sector (highly desirable)* Quality assurance systems (desirable) Skills* Strong organisational and coordination skills with the ability to prioritise a varied workload (essential)* Ability to work on own initiative whilst seeking advice when necessary (essential)* Excellent interpersonal and communication skills (essential)* Excellent spoken and written English (essential)* Numerate (essential)* Office IT skills (essential)* Social media skills (highly desirable)This is a really exciting time to join for a pro active and experienced Office Manager!
