Job Description

Notting Hill office are looking for an enthusiastic and highly organised individual to work with the sales team and manage the day to day running of the office.Key ResponsibilitiesAdmin support:

  • Dealing with all incoming calls as appropriate
  • Organising evening rota and Saturday rota
  • Keeping the stationary cupboard in order and up to date
  • Organising photos floor plans and Energy Performance Certificates
  • Sending out Confirmation of Instructions and Property Registration Forms
  • Land register downloads and conflicts checks
  • Submitting marketing requests and PR requests
  • Raising and issuing client invoices
  • Processing all office invoices
  • Keep reception area in order- magazines, newspapers, Savills adverting booklets and brochures
  • Ordering tea, coffee, stationary, hand soap, masks, gloves, anti bac wipes through office depot
  • Making teas and coffees for clients
  • Opening and locking up keys and office
  • Tagging up lettings keys on Key Manager, and sales keys in sales file
  • Franking and taking out all post
  • Booking boardroom and showing clients to the meeting room
  • Keeping the key sheet up to date
  • Carrying out office health and safety checks, and making sure all in line with compliance for the office audit
  • Taking responsibility for solving problems regarding the maintenance and day to day running of the office.
  • Booking couriers and international couriers
  • Ordering business cards and comp slips for both teams
  • Ordering office supplies, tea, coffee, sugar, soaps.
  • Doing Right to Rent certification of documents for clients
Marketing:
  • Creating property brochures
  • Creating and ordering sold flyers once a property has completed.
  • Ordering window cards for sales and lettings when a property is instructed
  • Running the office Instagram account
  • Working alongside the marketing team with new marketing material
  • Ordering Landlord and tenants gifts
Sales:
  • Helping out with the audit where required
  • Filing brochures of properties that have sold or been withdrawn
  • Ensuring the sales cupboard has all the up to date Savills marketing booklets
  • Ordering Vendor and buyers gifts- Jo Malone candles and champagne
Skills, Knowledge and Experience ExperiencePeople management and leadership experience, able to evidence:-
  • Confident telephone manner
  • Team player
  • Attention to detail of the exterior and interior of the office
Technical experience:-
  • Word
  • Microsoft Office
