Job Description

Taylorson Group are exclusively partnered with a Global Investment Management company who are now looking for an Office Assistant to join the team for a 12 Month Fixed Term Contract ( Maternity Cover).The Office Assistant is responsible for providing office management, administrative and reception support to the London office.Key responsibilities/accountabilities: Manage all stationary bespoke supplies: letterhead paper, signature stamps, envelopes and business cards for all global offices. Oversee physical security arrangements and routine maintenance for the London office. Liaise with landlords and office management companies. Overseeing and liaising with office suppliers, for example cleaners. Manage the IT admin process for new hires, leavers, transfers and relocations. Liaise with IT Training provider for set up of new hires and ensure training is completed within agreed timeframes. Responsible for keeping Health and Safety policy and manual up to date and ensure acknowledgement forms are updated. Arrange risk assessments, PAT testing, Emergency light testing, electrical testing etc. Manage periodic fire evacuation test and maintain fire safety equipment and procedures. Ensure records of incidents (near misses) are accidents are recorded appropriately. Arrange health and safety training as required (First Aid, Fire Wardens), ensure adequate resourcing of both and that course certificates are up to date. Arrange workstation assessments for employees as and when required. General reception duties including answering calls, welcome clients, preparing meeting room and arranging refreshments. Ad-hoc office support as required including but not limited to; managing kitchen supplies, meter readings, couriers, archiving and post.Skills Required: Demonstrable experience within team administration, office management, facilities or operations in a corporate office environment essential. Strong interpersonal skills, with a positive, approachable and proactive attitude. Proven administration skills, with the ability to work in a logical manner while under pressure. Can demonstrate strong accuracy, a keen eye for detail and thoroughness in all areas. Flexible, enthusiastic and able to demonstrate good use of initiative. Strong communication skills (including written, verbal and listening skills). Computer literate including proficiency with MS Office (Excel, PowerPoint and Word). Highly organised with good time management and prioritisation skills.My client is offering a salary up to £35,000 for the right candidate.Hybrid - Office Based Tue / Wed /Thursday
