Job Description

This is an opportunity to join a large Architectural Practice who are an ambitious and growing practice of over 120 colleagues with a 50-year heritage. They operate from their head office in Chesterfield and a studio in London working on projects acrossthe UK. They are proud of the clients they work with/for and always strive to be positive ambassadorsfor them, whilst also promoting the very best of their practice and how they add value in everything they do.As an Office Administrator you will deliver an efficient and effective administration and document control service to the London team, and wider Practice as necessary. You will be able to work on your own initiative and be proactive. This position also requires a high degree of responsibility, discretion and confidentiality. Main Duties:- Provide support to the Directors in the London studio including mailbox management and assist with diary management as necessary- Provide document control and administrative support to the wider London team including financial administration, management of expenses and filing- Overview and help manage the implementation of projects- Ensure that drawing/document schedules and issue sheets are maintained- Ensure that documents are issued accurately, to agreed protocols, recorded and in a timely fashion. - Coordinate and file all relevant downloads and advise relevant Project Leaders. - Undertake ad-hoc office management administrative dutiesThe person: - Strong and proven administration skills and experience- Ability to work as part of a team and alone- Excellent verbal and written communication skills- Able to prioritise duties and work under pressure whilst remaining calm- Excellent organisational skills- Good telephone manner- Adaptable to a changing environment- Excellent time management skills- High attention to detail and accuracy- Able to demonstrate integrity and confidentiality- Able to multi-task effectively- Good people skills- Able to work on your own initiative- Proficiency in the use of Microsoft Office- Proficiency in the use of EDMS (Asite, 4Projects, Aconex)Qualifications: - 5 GCSEs or equivalent at A to C (9 to 4) grades, including Maths and EnglishWhat else should you know: - Hours - 9:00am to 5:00pm with a one hour lunch (total 35 hours per week)- For the successful applicant we offer a competitive salary and a fantastic range of benefits along with a health and wellbeing programme- City Centre Location- Easy access to public transport links
