Job Description

Meeting and Events Coordinator Circa £25,000 per annum, dependent on experience. In this role, youll negotiate with clients to maximise income per event and youll assistin the achievement of the teams financial targets for room hire, catering and AV.What we hope you can bring to the role Youll be an organised, well presented individual who is passionate about providing excellent customer service.   • To be a primary point of contact for external clients for events of up to 200 delegates
  • To prioritise enquiries from the STEM community where possible
  • Conduct all new external enquiries following the BDRC standards of best practice
  • To respond to incoming event enquiries with a full proposal in a timely manner and follow-up within agreed time frames.
  • To assist the internal bookings diary & events coordinator on new enquiries, site visits & final details
  • To work with all our clients to ensure that we understand their event & offer the best meeting/event space, AV & catering for their event.
  • To maximize sales and capacity within IET London: Savoy Place thorough effective yield management.
  • To have a clear understanding of the diary management of rooms at the venue including those for internal bookers only.
  • To manage the diary by chasing provisional holds and to put together and issue accurate contracts to clients ensuring they are returned promptly
  • To focus on the conversion of enquiries through pre-set negotiation tools to secure the booking
  • Conduct and arrange site inspections with clients, as appropriate
  • To be responsible for ensuring that all client booking sheets are correct and informative and that all client needs are confirmed in writing no less than 10 days prior to the event
  • Meet the client on site & complete follow up calls with all event organisers
  • Work with clients post event to rebook them for their next event.
  • Maintain working relationship and knowledge of all competitors to the venue.
  • To attend where required sales exhibitions, conferences and networking events.
  • To maintain up to date client records using the computerised booking system and accurate paper records as well
  • To up sell additional menu items and AV facilities to clients to maximize revenue
  • To be conversant with the AV/IT and catering facilities at Savoy Place, including some technical and operational understanding
  • To work with the Sales & Development Manager to actively promote both of the IET Venues
  • To liaise with the Facilities Department to ensure that all Health & Safety issues are reported and users of IET London: Savoy Place are aware of Health & Safety procedures

  • Educated to A level standard, or equivalent
  • Experience in a similar role
  • Well-presented, with good communication skills
  • Excellent customer service skills and awareness
  • Excellent interpersonal skills, with the ability to communicate effectively at all levels
  • Good negotiating skills
  • Good time management skills, with the ability to prioritise own workload with minimal supervision
  • Competence in the use of Microsoft Word and Excel
  • Ability to work flexible hours, including evenings and weekends where required.
  • Knowledge of computerised booking systems
  • Experience of Sales and marketing.
  • Due to the nature of the duties within this role, a Basic Disclosure check will be conducted at the start of employment.
