Job Description

This role offers an exceptional opportunity for career progression and earnings, working closely alongside the Lettings Director and negotiators in a fast paced and dynamic environment.Boasting an extensive trophy cabinet including Gold Winners for London Estate Agency of the Year & Gold Winners for Small Lettings Agency of the Year and an unrivalled culture for our staff to thrive, they consider ourselves to be amongst the best in the industryThe successful applicant will be responsible for assisting the Lettings team at both offices with their paperwork and dealing with all aspects of administration including the following:*Manage office email communications and leads*Produce accurate correspondence from valuations, instruction letters to completion paperwork using our state of the art software*Create property details and market new instructions*Order professional photographs, floorplans and boards*Complete referencing for tenants and file progression for all letting deals*Arrange gas safety certificates, electrical certificates, EPCS and inventories to ensure landlord compliance*Resolve and attend to any property management / maintenance issues with portfolio*Liaise with contractors and other third parties to organise repairs and appointments*Arrange and complete property inspections*Preparing contracts and other legal paperwork including Section 21s notices*Preparing client invoices and statements*Client account reconciliation using our Property management System*Produce weekly and monthly reports for department*To ensure the property portfolio and associated activities are delivered in accordance with legislative requirements and ensuring compliance across the operation*Establish and maintain excellent relationships with tenants and landlords and deliver an exceptional level of customer service*Maintain all office administration systems in accordance with company standards, including Post and franking systems, equipment, office stationery and IT.*Produce canvassing material and order and maintain records of bespoke mailers using online ordering system.*Supporting the sales and lettings team with general office administrative duties where needed.*Excellent written and verbal communication*Strong organisational and administrative skills*Estate Agency Administration / Lettings experience is preferred but not essential as full training will be provided.*Demonstrate a professional approach to customer service*Ability to develop and maintain relationships*Be able to work under pressure and to tight deadlines*Ability to respond positively to challenges*Ambition and hunger to develop and progress.*Competent with MS Office Suite, Outlook and use of CRM systemsPLEASE ONLY APPLY IF ALL OF THESE REQUIREMENTS MATCH.
