Job Description

nSummaryr £30,800 up to £37,400 per annum - This isnt supporting the frontline. This is the heart of the action.We are now looking for an Officer to join the IT department to provide administrative, financial and organisational support for the IT department. You will be responsible for the smooth process of purchase orders [POs] and invoices, financial reporting aswell as assisting with all running IT projects and other administrative tasks.The ideal candidate will be an organised and efficient team player with great communications skills, and a can-do attitude.   • Monitoring and cascading of domestic and international communications
  • Digital Document management (incl. scanning / renaming / filing)
  • Active involvement in raising POs and processing invoices ensuring accuracy and deadlines are met
  • Assisting with the set-up, coordination, tracking and reporting of projects
  • Ownership of work packages within defined projects
  • Leading small / moderate projects within the department
  • Active involvement with the management of IT cost and investment controls, analysis and reporting
  • Managing the organisation and smooth running of general administrative functions
  • Collating and reporting of IT licence software and ensuring appropriate operational processes are in place
  • Controlling of ordering / receiving goods from European and International suppliers
  • Ensuring the compliance and timely processing of all procurement, invoices and contract documents
  • Supporting the creation of correspondence, presentations and documentation
  • Acting as contact person for the IT department for national and international colleagues
  • Assisting with the creation and maintenance of business process documentation
  • Handling and co-ordinating translations of English to/from German*
  • Any other ad-hoc tasks as required
What youll needr
  • A confident office professional with strong numerical skills
  • Some experience with project management and budgeting
  • Great communication and organisational skills
  • Excellent attention to detail and ability to prioritise
  • Strong working knowledge of Microsoft Office, including Excel and PowerPoint
  • Driven and motivated with a positive outlook
  • Proactive attitude and a good team player
  • Highly organised and able to work to tight deadlines
  • German language skills are highly desirable but not essential
