Job Description

We are now looking for an IT Office Management Administrator to join the IT department to provide administrative support to departmental resources and processes, projects and associated activities. You will be responsible for the smooth process of POs andinvoices as well as analysing costs and investments.The ideal candidate will be a proactive individual with great communications skills, can do attitude and ability to understand the context of the wider department and business.What youll do

  • Active involvement in raising POs and processing invoices ensuring accuracy and deadlines are met
  • Assist with the organisation and smooth running of general administrative functions
  • Assist with compiling and analysing Cost & Investment reports
  • Ensure the compliant and timely processing of all procurement, invoices and contract documents
  • Arrange travel and accommodation for the department members as required
  • Support the Senior Management team with research and investigations as required
  • Support the creation of correspondence, presentations and documentation
  • Assist with the review / publish cycle for IT policies and procedures
  • Assist with the continuous review, optimisation and documentation of IT processes
  • Assist with compiling and reporting IT license software licence positions and ensuring appropriate operational processes are in place and adhered to by Product Owners.
  • Act as contact person for the key users in the departments
  • Help to document and maintain systems and associated technical / functional processes
  • Participate as an assigned resource to the Project Manager as required
  • Aware of and complies with national and internationally defined guidelines surrounding procurement and cost management
  • Collects data and compiles regular reports and as required
What youll need
  • A confident administrator with an interest in IT
  • Strong numerical and analytical skills
  • Strong working knowledge of Microsoft Office, including Excel and PowerPoint
  • Excellent communication skills and the ability to communicate to different level of the business and external stakeholders
  • Ability to analyse data, spot trends and run reports
  • Driven and motivated with a positive outlook, curious and able to solve problems
  • Proactive attitude and good team player
  • Highly organised and able to work to tight deadlines
  • German language skills are highly desirable but not essential
