Job Description

IT & GDPR Coordinator City of London Offering between £10,600 - £11,400 (£26,500 - £28,500 FTE)Permanent, Part-Time (15 hours) Hybrid Working About The Company Their mission is to engage in long-term relationships that empower young people from disadvantaged backgrounds to complete their education, avoid anti-social behaviour, and ultimately become independent and confident contributors within their communities. Thischarity operates in nine inner-city boroughs around London, and the City of London, working with over 4,000 young people each year through education, mentoring, employability, community youth work, sports and the arts.Key tasks and responsibilities Setting Up New Starters

  • Sourcing laptops and phones, ensuring best value for money;
  • Liaising with our external IT services provider to have laptops setup with software;
  • Requesting e-mail addresses and phone numbers for new starters;
  • Supplying laptops and phones to new starters;
  • Training new starters in the use of their equipment and central systems.
IT Support
  • Being the first point of contact for staff IT issues and requests;
  • Communicating with our external IT services provider to resolve issues;
  • Sending and receiving devices for warranty repairs;
  • Taking the initiative to resolve existing and foreseeable IT issues as they arise.
IT Asset Management
  • Keeping records of laptop and phone users;
  • Keeping staff e-mail address and phone number lists up-to-date;
  • Managing e-mail distribution lists;
  • Managing user access to central systems;
  • Collecting returned IT equipment when staff leave, and updating records and access to systems.
Data Protection/GDPR
  • Supporting the Director of Operations in all aspects of data protection and GDPR compliance;
  • Training staff in the principles of data protection;
  • Processing data access requests, change requests, etc.;
  • Recording GDPR breaches and reporting to the Director of Operations for further action if necessary;
  • Auditing data storage systems and usage of data;
  • Keeping up-to-date with the latest legislation and advice from the ICO;
  • Suggesting updates to data protection policies as required;
  • Arranging for stress-testing of systems;
  • Supporting the processes of applying for appropriate certifications of compliance.
Other
  • Being part of the office team, attending staff and departmental meetings;
  • Contributing to the smooth running of the office through answering phones, receiving visitors and post, and joining in with shared office team tasks.
Requirements
  • Solving IT issues;
  • Administration, with great attention to detail:
  • Communicating effectively with people at all levels of the organisation;
  • Using Microsoft Word, Excel and Outlook;
  • Completing tasks that you start and ensuring that you work to a high standard;
  • Spotting where things need to be done and taking initiative to problem solve;
  • Confident in dealing with phone calls
Useful if you have:
  • Previous experience in a similar role;
  • Knowledge of SharePoint, G Suite and Salesforce or similar CRMs;
  • Good understanding of the Data Protection Act 2018 and the UK GDPR.
