Job Description

Reed London & City HR are currently working alongside aHigher Education Establishmentbased in West London who are recruiting for an experienced HR Systems Administrator for 3 months on a fixed term contract.Job SummaryThisHR role will provide support to the Management Information Systems team, primarily with the implementation of SAP upgrade project (SAP HR Migration Phase 2) and an associated upgrade to the businessSelf-Service portal, initially for a fixed period. The HR Administrator will be the first point of contact for SAP migration and Self-Service upgrade queries, coordinating resource needs, producing reports and data cleansing exercises and to provide HR administrative support to the project. The role holder will also support day to day queries and tasks associated with the Management Information Systems team.PRINCIPAL ACCOUNTABILITIES:

  1. To provide advice as required to managers relating to SAP HR Migration Phase 2, in particular helping to resolve any user queries related to SAP and the associated Self-Service portal. This will involve supporting both managers and colleagues through changes to the system, particularly accessing and using Self-Service portal during and after the upgrade.
  2. To be responsible for creating guidance and related communications for customers/users on any changes to SAP and Self-Service, as a result of the project, and ensuring these are kept up to date and disseminated as appropriate and in a timely manner.
  3. To support the Management Information Systems team in preparing and maintaining a suite of test scripts to assist with the testing of SAP and Self-Service, ensuring that any test scripts created are accessible and available to be used and adapted year on year.
  4. To provide first line support to HR colleagues on any SAP or Self-Service related queries, particularly as a result of project changes, and to troubleshoot any problems encountered. To make sure HR training and process notes are kept up to date and in line with current HR processes, and provide updates as required to colleagues on changes implemented.
  5. To investigate and resolve queries received in the HR Systems In-box and queries received via the University’s Fix-It system, escalating to the Management and Information Systems Advisors as required.
  6. To undertake GDPR related activities as required, including data cleansing and records management using the HR SAP records system. To support the production of SAP reports for a variety of audiences, using and creating template reports as required, and signposting individuals to existing data when appropriate. Maintaining and reviewing the existing suite of template reports within SAP.
Context- The Postholder will join a small specialist team within the Human Resources Department – Management Information & Systems, primarily to provide support to Phase 2 of the SAP migration project and the implementation of an upgrade to existing Self-Service portal. The role holder will also provide on-going support to day to day activities. The role will be line managed by the Senior Resourcing and Reward Adviser, working closely with the Management and Information Systems Advisors. The purpose of this role is to provide professional HR advice and HR administrative support to all project related activities, as well as supporting and undertaking some of the technical changes within the SAP computerised record system
