Reed HR are working alongside a large and well known Public Sector Organisation based in South West London, who are urgently recruiting for an Interim HR Assistant for initially 6 months.This role is hybrid so travel into the office is required.Job SummaryTo provide assistance and support to the HR team covering a range of day-to-day HR administrative matters (such as employee file organisation, pension, payroll and recruitment administration), key projects (such as recruitment, volunteer and HR data), andgeneral office duties (filing, copying, scanning and archiving).Duties and Responsibilities1. Maintaining both electronic and paper-based HR records (including volunteers) as appropriate.2. Using Microsoft Word to update and produce personal file documents and Microsoft Excel spreadsheets to update databases as directed.3. Transferring correspondence from emails (using Microsoft Outlook) to electronic staff/volunteer personal files.4. Dealing with day-to-day administration, such as photocopying, scanning, electronic filing and archiving. This will involve a specific project to transfer hard copy data to the SharePoint server.5. Support the department with administration and system support for the management of Company volunteers (around 300), including vetting and issue of contractual documentation as required. This will involve using database systems and portals.6. Ensure that the provisions of the General Data Protection Regulation are adhered to at all times and that the security and confidentiality of the Abbey’s information is safeguarded.7. Undertake such other duties commensurate with the nature of the role as may be delegated by the line manager and other senior colleagues within the HR Department.8. Ensure that all data L&D training, safer recruitment, recruitment, new starter, pensions, payroll, employee and volunteers are ready to upload onto our HR system, ‘iTrent’.9.
