Job Description

Overview Formed in 2010 by Matthew Byam Shaw, Nia Janis and Nick Salmon, Playful Productions is one of the largest independent theatre production companies in the UK, producing in the West End, on Broadway and on UK and international tour. Our productions include plays such as Wolf Hall and Bring Up the Bodies, The Audience with Helen Mirren, No Mans Land with Ian McKellen and Patrick Stewart, and touring musicals such as Shrek! The Musical and Kinky Boots. We also provide general management and production accountancy services to other producers, currently for Wicked and Come From Away. Forthcoming shows include Good with David Tennant, Get Up, Stand Up! The Bob Marley Musical and the transfer from Broadway of Moulin Rouge! The Musical. Among many others, our productions have received 27 Olivier and 10 Tony® Awards.We are recruiting either a Head of Finance or a Head of Finance and Administration, dependent on the skills and interests of applicants. The Head of Finance/Head of Finance and Administration is a senior management role working closely with the companys three Directors to plan financial strategy and contribute to the companys creative and strategic planning. The Head of Finance/Head of Finance and Administration oversees all statutory accounts for Playful Entertainment, its subsidiary companies, and the accounts of the productions we manage for clients; undertakes company secretarial duties and manages the companys Accounts Department. The Head of Finance and Administration would undertake less day to day show accounting than the Head of Finance and have a broader remit covering policy implementation and some of the companys administration, personnel and office management functions.As none of our productions are currently in performance due to the Covid-19 pandemic, Playful is currently operating at reduced capacity, with an accounts department of two and production staff of five. We are however in pre-production for several new West End shows for 2021 including a new musical, a Broadway transfer and a new drama, as well as the re-opening of our two long-running musicals. At full capacity the company has had up to thirty personnel in the production office and combined payrolls of over six hundred employed on our productions. This position therefore offers an exciting opportunity to shape the department and its systems as we reopen shows, welcome back staff and prepare the company for the future.Reports toThe Directors.ManagesAccounts DepartmentDependent on the number of shows that are in production, at full strength the Accounts Department consists of up to two production accountants, an accounts assistant, a payroll manager and a trainee accounts assistant on a one-year university placement. Currently there is just one production accountant in addition to the Head of Finance.HEAD OF FINANCEDuties

  • For Playful Entertainment Ltd
  • Recruitment and line management of all members of the Accounts Department
  • Supervision and allocation of work across the Accounts Department
  • Ensure all relevant staff skills are kept up to date
  • Lead on financial planning, projections and financial modelling and strategy
  • Maintain books and records of Playful Entertainment Ltd and its subsidiaries
  • Build and maintain relationships with the companys clients, banks, auditors, solicitors and other specialists in the UK and the US
  • Monitor cash balances of upwards of 15 accounts across 3 different banks
  • Process the confidential monthly payroll for all staff employed by Playful Entertainment Ltd.
  • Process PAYE, payroll, year end and VAT returns
  • Prepare the annual budget and regular (monthly) management accounts to present at meetings with Directors
  • Prepare accounts and supporting schedules at the financial year end, liaising with accountants in the preparation of statutory accounts and corporation tax returns
  • Ensure the timely filing of all statutory returns
  • Ensure that the companys accounting systems and software remain up to date and appropriate, recommending new systems if required
  • Production AccountingFor all productions where Playful Productions is the Producer and/or General Manager:
  • Work closely with members of the production team to maintain and communicate a clear understanding of the financial status of each production
  • Prepare detailed production budgets in advance of shows being confirmed, modelling different scenarios, particularly those relating to investment returns, royalty payments or profit shares
  • In consultation with the companys tax advisors, advise the directors as to the most tax efficient way to set up productions
  • Create and maintain accounting structures, systems and records for specific productions, including but not limited to: setting up limited companies, opening bank accounts, establishing purchase order systems, VAT and PAYE registration, payroll and pensions
  • Monitor and report to the Directors on the receipt of investment
  • Respond to investor queries in a timely manner and maintain the financial records of production investors
  • Liaise with US accountants and general managers in the transfer of productions to or from Broadway and the management of US investment
  • Supervise the management of cash flow across all productions
  • Produce or oversee weekly management accounts for specific productions, regularly reviewing balance sheets
  • Supervise bank payments
  • Oversee the administration of weekly payrolls and the payment of royalties on each production
  • Advise Directors when sufficient funds are available to pay profit shares to investors
  • Prepare schedules to assist external accountants in preparing theatre tax credit claims
  • Communicate relevant information, including changes to running accounts and cash flow analysis to Producers, the Directors, Senior General Manager and production team
  • Supervise the preparation of annual statutory accounts and certification by external accountants on long running shows
  • Ensure compliance with relevant HMRC and legal requirements and keep up to date with new accounting and legal developments
  • Maintain up to date knowledge of relevant taxation issues such as foreign entertainers tax, theatre tax relief etc.
  • Stay up to date with employment legislation and industry union agreements
  • Support the work of the Directors and Playful staff as appropriate, providing ad hoc reports and analysis and making appropriate recommendations
