Job Description

Operations Assistant TFS Healthcare is an award- winning, highly successful Healthcare recruitment agency that has seen year on year growth since our inception in 2010. We are an ambitious, dynamic and fun organisation that has big plans.Due to the continuing success within the business- we are now seeking an Operations Assistant to work alongside our Operations Manager.This is a fantastic opportunity for someone looking to continue their career and join TFS Healthcare, a thriving, ambitious organisation that is making a huge impact in the highly lucrative world of nursing recruitment.Main Purpose of Role The Operations Assistant will work closely with the Operations Manager to oversee all back-end business processes of TFS Healthcare. The role involves database management, interaction with senior stakeholders both internally and externally, and requiresa high level of organisation and analytical attention to detail.The Operations Assistant is required to have both excellent organisational and communication skills, the ability to manage a changing workload with work on multiple projects at any one time. Intermediate/advanced knowledge of Microsoft Office (primarilyExcel) and the Eclipse Recruitment Database is desired.Key Accountabilities

  • Management and maintenance of the Eclipse CRM database to ensure that information is accurate and up to date. Other duties include adding/amending rate cards, monitoring consultant eclipse usage, creating reports, and general tidying up of the database.
  • Responsible for all client onboarding administration including internal client set up, monitoring and administrating renewals, and managing KPIs against client expectations. This includes creating and uploading reports for certain clients.
  • Producing weekly reports for the Operations Manager, Division Managers, and sales consultants.
  • Assisting the Operations Manager with new and existing projects.
  • Responsible for enforcing company policies and procedures within the office
  • Management of the company mobile phone process, including ordering new phones and producing reports on existing users.
  • Management of the Moneypenny phone answering service. Producing reports on usage and ensuring that adequate cover is provided at all times.
  • Assisting credit control with back-end operations to ensure that all client specific invoicing processes are correct and adhered to. Uploading blanket and personalised rate cards to NHSP on behalf of credit control.
  • Adhoc business administration duties
Skills and Experience
  • Analytical skills
  • Experience with database management. Eclipse knowledge desired but not essential.
  • Excellent excel and Microsoft office proficiency
  • Responsible for enforcing company policies and procedures within the office
  • Working to tight client/internal deadlines
  • Excellent attention to detail and organisational skills
  • Work independently
  • Comfortable and able to liaise with high level external stakeholders and supplier.
