Job Description

Signature Recruitment have an exciting opportunity to join our client, a medical membership organisation, as a Governance Administrator! This role will be on a full time and permanent basis.The successful candidate will have previous experience working within Governance Administration, be skilled in taking accurate minutes, have strong eye for detail and be able to demonstrate your experience servicing committees. You will also have strong IT skills having previously used a CRM system or database. If this suits your current experience, then this could be a great next step for you!Governance Administrator Main Responsibilities:

  • Providing administrative support as a member of the Governance team
  • Ensuring the smooth running of the committee meeting programme; preparing agendas, distributing papers and taking minutes of meetings to agreed timescales and keeping accurate records of membership and attendance.
  • Tracking the action points from meetings and following up with the chair and/or committee members as necessary through to completion within agreed timescales.
  • Administering other processes as required e.g. grants, honours and awards and the abstract competitions at Association conferences
  • Providing administrative assistance to the Senior Management Team (SMT) as needed e.g. arranging meetings, updating governance resources and website updates
  • Providing support for all logistical aspects of committee meetings including organising presentations by invited guests, liaising with facilities for the provision of rooms, AV and catering and organising virtual meeting technology
  • Managing the generic mailboxes and responding to all enquiries, dealing with requests for information and assistance relating to relevant areas of work, or fielding correspondence to appropriate staff and Board members as necessary
  • Reviewing and updating pages of the website related to your areas of work
  • Booking hotel accommodation and travel as and when required
  • Governance Administrator Essential Skills and Experience:
  • Proven experience organising and servicing committee meetings and taking accurate minutes
  • Excellent IT Skills including experience with CRM databases and MS Office
  • Strong written and verbal communication skills
  • Excellent organisation skills
  • Able to develop and maintain relationships with Stakeholders
  • Ability to maintain confidentiality and discretion at all times
