Job Description

We are seeking a reliable and friendly Fundraising Officer to play a key role in our team at Heritage of London Trust (HOLT). This is an exciting position, with responsibility for delivering excellent stewardship to individual donors, supporting corporate partnerships and charitable trusts and assisting with wider fundraising activities. The role has the potential to develop in scope to take on additional responsibilities.Heritage of London Trust is Londons independent heritage charity, set up in 1980 by the Greater London Council to rescue and restore historic buildings and monuments across the city. We work in every London borough, supporting local communities and inspiring young people through our education programme Proud Places. As communities begin to recover from the impact of Covid, we are helping develop positive connections between people and places in innovative ways. Your role will be a mainstay in helping streamline our work and keeping track of our wide network of supporters.Experience in fundraising, plus evidence of organisational skills, thoroughness and dedication to detail are all essential. We welcome applicants who can demonstrate transferrable skills. If you have relevant work experience, are organised and have excellent verbal and written skills we would love to hear from you.Main tasks and responsibilities 1. To process donations and record income Ensure that details of all donations received are input into the fundraising database. Manage the donations process including monitoring online donations, sending timely updates for Patrons renewals and monitoring success. Generate receipt letters and personalised responses relevant to a range of donations, and work with the Heritage of London Trust team on developing the way donations are acknowledged including drafting special letters for larger gifts or for the Directors response. Liaise with the Treasurer in reconciling donations recorded on the financial system and updating records. Manage administration of Gift Aid declaration forms, including processing Gift Aid, following up on donations which have not been gift-aided and filing Gift Aid declarations. Provide fundraising reports to the Director as required.2. Stewardship Process and respond to enquiries and requests from donors through post, telephone, email and website ensuring each donor receives the appropriate response. Keep the contacts database up to date with accurate contact and donor engagement information. Stay up to date with our heritage restoration projects and Proud Places programme in order to provide relevant and up to date information to donors. Collect and communicate relevant activities from donors to the wider team where appropriate. Collate information, records and reports for donors on the impact of their donation. Take responsibility for ensuring all projects and marketing materials provide appropriate and accurate donor recognition, liaising with project partners and the wider HOLT team. Maintain careful records of legacy pledges and notifications. Keep up to date with all fundraising, data processing and GDPR regulations.3. Events Support the HOLT team in planning and delivering high quality Patrons events, from co-ordinating logistics and visits to drafting and sending out invitations, tracking responses and planning travel. Joining events and visits where appropriate, building relationships with all donors to help raise funds, promoting goodwill and helping generate further support.4. Corporate Demonstrate a commitment to HOLTs vision, mission and values. Be an active member of the HOLT team, working supportively with others.Person specification At least 18 months experience within a fundraising environment. A sound knowledge and understanding of individual giving. Experience of working in an administrative or support role. A systematic, organised and planned approach to work and strong attention to detail. Excellent oral and written communication skills. A friendly telephone manner and the ability to build relationships with donors and supporters. Proven ability to work effectively in a team. Willingness to take on new challenges and responsibilities. Proficient in computer skills, including Microsoft Word and Excel and willing to learn to use new software where necessary. Able to plan and manage time effectively and prioritise a range of varied tasks. A demonstrable interest in Londons heritage, history and/or the charity sector.The role will be based at our London office in Victoria. There is flexibility to work from home for part of the week and there will be a requirement for some travel to projects and for events.HOLT is an equal opportunities employer.
