Job Description

Responsibilities:

  • Hours: Monday through Friday, 8:30AM5:00PM
  • Meeting and greeting of clients and visitors
  • Ensuring reception area, meeting rooms, kitchens, stationery, and supply rooms are kept neat and stocked at all times
  • Logging and issuing access passes to visitors/staff and retrieve or terminate as required
  • Management of meeting rooms (i.e., set-up and clearing between meetings, zoom connections, preparation of any meeting materials. Assisting staff with room bookings and managing room bookings to avoid double-up bookings and sufficient time between meetingsfor turnaround)
  • Calling appropriate host upon visitor arrival and escorting guest to meeting rooms
  • Coordination with Facilities to ensure H&S standards are upheld within office
  • Taking inbound calls and taking accurate messages
  • Management of all incoming/outgoing post and booking couriers
  • Booking taxis
  • Copying, scanning, and printing duties
  • Ordering of some office supplies including stationery, drinks, refreshments, and general office consumables
  • Assisting with the organization of office social functions, restaurant bookings, newsletters, noticeboard information
  • Working as part of Front of House team to provide seamless support of the office.
Qualifications:
  • Ability to manage to deadlines
  • Experience with the Microsoft suite of products including Outlook, Excel & PowerPoint
  • Comfortable in a fast-paced, complex, and highly matrixed environment
  • Proactive, motivated and results oriented individual capable of partnering with diverse perspectives and backgrounds
  • Self-motivated and highly organized with the ability to prioritize, communicate clearly and demonstrate a sense of urgency
  • Strong service orientation and willingness to learn
  • Strong verbal and written communication
  • Knowledge of Concur is a plus
