Job Description

The expectations of this Front of House / Facilities Asistant roleis to operate as a professional, flexible and competent member of the Facilities team, providing high quality and efficient services with confidence and commitment to the one team philosophyPrincipal Responsibilities

  • Meeting and Greeting all visitors in a friendly and professional manner, with the upmost attention to detail and client needs.
  • Proactively providing a service that is helpful, knowledgeable and suited to each individual or situation
  • Efficiently sorting and processing all daily mail, delivery of packages promptly and with due care and attention.
  • Ensure deliveries are signed for and contractors are directed to the appropriate area.
  • Responsibility for the management and issuing of all access passes with duly authorised authority.
  • Security of all Keys and contractor security passescontrol, issue and return. Authorisation to be recorded for all suppliers.
  • Ensure the efficient and accurate booking of taxis and couriers as required.
  • Ensure AV technology is operating as required in all meeting rooms, report and follow through on any correction of any issues.
  • Floor collections to be made regularly and promptly as required, liaising with other team members for collections or deliveries to the post room
  • Service bays to be kept orderly and stocked, neat and tidy at all times, including stocking of photocopiers with paper and appropriate stationery levels maintained/ordered
  • Manage a smooth delivery of all meetings with effective, positive communication and follow through
  • Reception area, meeting rooms and all common areas to be kept clear, neat and tidy at all times.
  • Meeting room and hospitality areas furniture and equipment to be reconfigured as required.
  • Incoming desk and switchboard calls to be answered promptly and courteously with efficiency with a proactive approach to answering questions and issues raised.
  • This position will act as an Incident Marshal in the event of a building evacuation or emergency situation, First Aid training will also be beneficial.
  • For the immediate future, knowledge and understanding of the requirement in force for the implementation of RTO.
  • PPE, hand sanitisers and signs stocked, refilled tidy and available at all times, guiding associates around the office and support of the wider services team.
  • Fully aware, knowledgeable and vigilant in regards to Health & Safety
  • To ensure that at all times the Business Services department is represented in a professional, positive and helpful manner, contributing to the overall efficiency of the wider department.

Person Specifications
  • Good quality communication and integrity are key attributes, thereby ensuring that BAM provides a superior liaison between associates, suppliers and clients both internally and externally.
