I have a fantastic opportunity for a switched-on, experienced Temporary Float Personal Assistant to provide direct support to various members of the Fixed Income Team in a prestigious global asset management firm.I am looking for a self-motivated individual, who will thrive under pressure in this busy role based in the heart of West End.This role will start asap and continue until October 2024 with a strong chance of further longevity for the successful candidate.WHAT YOU’LL DOTypical duties within this role include:• Extensive diary management • Liaising with internal and external parties to arrange meetings and manage any clashes• Booking meeting rooms globally, to facilitate for video and audio conference requests• Working with an external travel vendor to book necessary travel arrangements for all managers (flights, trains, hotels, etc.)• Expense management • Diligent coverage of telephone lines, with a professional telephone manner• Understanding visa processes and ensuring all travelers have the necessary visas in place• Working with technology and facilities when onboarding new hires • Scheduling orientation meetings• Cover for administration across the business when absences occurProduct management support:• Governance coordination and preparation of meeting materials• Collating mechanical memos • Organising documents for audit and regulatory queries • Updates to documents including minutes and reports• Assist with reconciliation and filing of corporate documents • Ad hoc project coordinationWHO YOU ARE• Previous PA experience working at varying levels• Previous experience working in a corporate global company • Strong communication and interpersonal skills at all levels of an organisation • Ability to effectively manage a heavy fast paced workload • Good professional judgment and emotional intelligence• Thrives under pressure• Detail orientated with the ability to work quickly and accurately• Self-motivated • Available to start in January 2024 is essentialDesired Characteristics• Previous experience working within Asset Management would be highly advantageousHours 8am to 5pm or 8.30am to 5.30pmIf you are interested in the above role, please apply ASAP.
