Days: Full TimeContract: 1 Month Contract (Maybe longer)Hourly Pay: £16.50 p/hIR35 Status: In ScopeThe BackgroundFacilities Project Administrator to join a leading London University on a contract basis in Central London. Please note that this opportunity is 5 days a week working Full time on siteThe RoleThe Facilities Project Administrator will be responsible for a short-term facilities project within the departments main office building.This will involve a large scale clear out of office waste, recyclable items and confidential waste.The post holder will be expected to work independently of the Departmental Manager in supporting and advising staff on the disposal of unwanted office items and in transforming offices into clutter free, tidy environments.The post holder will be expected to liaise with UCL Estates in order to coordinate any maintenance issues and removal requests, address cleaning and waste requirements, all within a set time line to meet a wider project to refurbish internal areas of the buildingThe role requires interaction with many people within and external to UCL thus a professional attitude, attention to detail, willingness to help and a positive outlook are required in order to adequately execute the duties outlined.The post holder will provide the highest level of service to staff and students and will ensure that, wherever possible, improvements are made.Main duties and responsibilities:Manual handling and logistics - the post holder will be required to ensure rooms are cleared out appropriately, which may involve removing bags of items from rooms or moving them into appropriate locations. This will be carried out within health and safetyparameters. The post holder will be responsible for booking Estates to dismantle and remove larger itemsTo manage the resolution of maintenance and facilities issues as required; proactively reporting any maintenance issues to UCL Estates and chasing as appropriate.Arrange for removal of waste furniture, equipment and other items using the Warpit systemMaintain a system to ensure prompt follow-up enquiries.Liaise with UCL Facilities Services regarding general office cleaning issues.Liaise with contractors and suppliers of local waste management services and with cleaning contractorsUpdate internal signage.To assist with small building refurbishments and projects in relation to the department.To monitor the work request to ensure they are resolved and completed to the departments requirements ensuring a safe working environment.Work proactively with management to identify potential risks (including closure of bookable spaces) related to facilities and maintenance and act to ensure suitable mitigation measures are in place to deal with theseWork closely with UCL Estates to deal with emergencies such as floods and power failures, liaising with team members as necessary to ensure that matters are dealt with effectively while maintaining normal business activities.Person Specification:Essential:Minimum of 5 GCSEs at Grade C or above (Including Mathematics and English Language) or equivalent, or having acquired relevant experience in managing financial processes.Computer literacy and familiarity with the Microsoft suite of software to intermediate level in Word, Excel, Email, Outlook and the internet.Good oral and written communication skills which enable the post holder to liaise and interact with a variety of people at all levels of the university.A commitment to customer focus and the need to provide an efficient, professional and effective service to the many users and contacts both internally at all levels of the organization and externally Proven consistent ability to meet tight individual and groupdeadlines and to manage own workload through effective prioritizing, time management and organizational skills.Ability to work under pressure whilst maintaining close attention to detail and accuracy.Ability to be discreet and maintain confidentiality when dealing with a variety of student and staff data.Willingness and ability to undertake training and adapt to new systems quickly.Proven commitment to safety in the workplaceProven effective service in a busy office environment.Proven experience of working as a proactive member of a team.Experience of workplace facilities administration.UCL Ways of Working for professional servicesPlanning effectively so that work is delivered and others are not delayed.Understanding your responses to stress, and developing personal resilience strategiesWorking methodically, prioritizing and managing tasks.Planning effectively, recognizing and flagging problems.Taking responsibility for your workHaving a positive and helpful approach to workDesirableEducated to A Level (Minimum of 2 at grade C or above), or equivalent.Experience of working within a HE or similar research environment.To discuss this opportunity further, please send your CV.Candidates with meaningful experience will be contacted shortly after.We are an equal opportunity employer and value diversity at our company.
