We encourage every person to be their personal best by creating an environment of inclusion, equality and support.International SOS has been recognised as a Top Employer in the UK by the Top Employers Institute (TEI) for 2021.Job description:OverviewWe are looking for an experienced Facility Coordinatorto join our team in our office in Londons Chiswick Business Park.This is the perfect opportunity for someone with 1-2 years of experience in facility management to join an international company.The Facility Coordinator will oversee all activities inside the office, making sure that health and safety standards are met and arranging for repairs when needed. The Facility Coordinator will report to the Facilities Manager and help with the daily businessand recurring tasks such as maintenance, waste management, safety and fire equipment inspections, tracking expenses, coordinating with external vendors,Responsibilities

  • Ensuring the building meets standards worthy of International SOS by visual checks throughout the day.
  • Trouble shooting and fault finding.
  • Assist with co-ordination of PPMs, office maintenance and DIY tasks.
  • Attend to reactive calls/emails throughout the day.
  • Make sure the meeting rooms are clean and tidy and that chairs and equipment such as Flipcharts and suitable pens are present at any time.
  • Restock water glasses and jugs and make sure they are clean/empty.
  • Check and stock all printers of A4 & A3 paper.
  • Report low ink stock levels to IT.
  • Sort and deliver incoming and internal mail.
  • Collection of post from collection points and franking and preparing daily post for collection by Royal Mail.
  • Ensure reception is always clear of waste with no build up of waste within the office.
  • Change out waste and recycling bins at peak times.
  • Reception cover as require.
  • React to requests/email while covering reception.
  • Locker assignment and audits.
  • Conduct Security Audits.
  • Producing and modifying access cards
  • Monthly staff number for Enjoy Work
  • Ensure adequate milk is ordered and disrupted to fridges
  • Change milk order as required to ensure no wastage
  • Ensure fruit is distributes evenly throughout the office daily
Further ResponsibilitiesOH& S
  • Daily/weekly health & safety and fire equipment inspections.
  • Keep Fire log and L8 waterlog, COSHH paperwork up to date.
  • Take ownership of the compliance tracker, ensuring all statutory compliance checks are carried out in the specific time set.
  • DSE workstation assessments.
  • Reviewing of Contractors RAMS.
Training
  • New Starter Health & Safety inductions
  • Arrange annual training for First Aider and Fire Marshals.
