Our client are based in Canary Wharf and are looking for a Building Services Co-Ordinator to join their busy team.The role is to support the current service coordinator team on the maintenance activities and record all engineering and servicing documentation to assist the Assistant Building Services Manager/Building Services Manager(s)/Retail Building Manager(s) andthe Engineering Supervisor(s) with planned and reactive maintenance systems for the designated location(s)Duties include:To support current service coordinator team with the administrative aspects of their job roleTo maintain excellent tenant relationships by the implementation of an efficient and polite telephone manner.To assist service coordinator team with the following tasks:Ensuring that the required logs/reports are maintained and processed in accordance with the agreed procedures.Updating the contractor servicing schedule.Composing and sending emails/letters to notify tenants of upcoming servicing visits.Assist servicing team and BSMs in the preparation for departmental audits.To assist in monitoring the building maintenance contractors to ensure that any faults/alarms are immediately passed to the relevant supervising maintenance staff.To ensure that the Building Services/Retail Building Managers and/or Engineering Supervisor(s) are kept fully informed of all events.Ensuring all statutory compliances are being met and highlighting to building management any failures in compliance.Highlighting any remedial from service visits and ensuring the relevant parties are aware.Collating and responding to contractor reports and concerns.Assisting with administrative aspects of Liaising with Tenants and Supervisors on any insurance issues and in conjunction with Aviva Insurance and ensuring the spread sheet is up to date and to ensure all items are accomplished.To be thoroughly familiar and comply with the Companies "Health & Safety" policy and procedures and to immediately report any hazards or infringements to either the Building Services/Retail Building Manager or Engineering Supervisor(s).To carry out other reasonable duties as requested by the Building Services/Retail Building Manager and Engineering Supervisor(s).
