Job Description

We are currently looking for a Facilities Administrator to work for a corporate government client based near Charring Cross. This position is office based and not remote working. Hours 36.5 per week. Pay would be £12.80ph. The Facilities Management and Commercial Team is a small and busy team that work closely together in a fast paced service delivery environment. The Commercial section is responsible for buying and securing goods and services . Our client is a public body and the decisions they make on purchases must be open, fair and transparent. They also need to ensure they get value for money. The Facilities Management (FM) team maintains and develops services which support and improve the effectiveness of the organisation. This includes a whole range of responsibilities such as building management and accommodation, switchboard and postal services and business continuity.Providing effective and efficient administrative support across the Commercial and FM teams, including: Help DeskDealing with bookings for travel, couriers, car hire, stationery orders, and updating internal spreadsheets.Liaison with the Landlords building managers to ensure that maintenance requests are passed on and followed up to a successful conclusion, escalating matters where necessary. SwitchboardAnswering switch board transferring calls to the appropriate person as necessary or providing the appropriate contact details.Financial ManagementProcessing of orders/invoices for payment using the internal purchase order processing system and when necessary addressing queries and dealing with disputes. Office SupportSetting up of conference and meeting room facilities.Movement of post, stationery and photo copier paper, case material and goods to appropriate people.Issue of Court Passes, MFD log-in cards and temporary building passes.Monitoring service areas and ordering stock as necessary.Escorting Non-members whilst within the demise (i.e. Maintenance, can be out of hours and weekends if required)General housekeeping to keep all floors clear of clutter including removal of waste materials (i.e. cardboard) not located within the bins or covered by Cleaners contract.Completing other tasks as requested by the Commercial/FM team as required.Clear and effective oral and written communication skills;Effective use of MS Office, including Outlook, Word, PowerPoint and particularly Excel for record keepingIf this is the role for you, then apply today!
