  • Assisting the CEO with the management of her workload; prioritizing accordingly and flagging up anything that needs the CEO’s urgent attention. Assisting the COO from time to time.
  • Taking ownership of actions on behalf of the CEO
  • Acting as gatekeeper’, answering all incoming calls and managing email correspondence
  • Diary management
  • Dealing directly with a variety of contacts both internally and externally and at all levels
  • Arranging external and internal meetings and any catering requirements
  • Preparing board level reports, spreadsheets, presentations, meeting papers, letters, emails etc.
  • Assisting the CEO and COO with ad-hoc projects
  • Organizing the CEO and COO travels
  • Administering the CEO and COO expense claims
  • Providing additional occasional support to the senior management team
  • Assisting staff with their travel requirements
  • Qualifications
  • Experience at working at senior management level (c. 3 years’ experience) and assisting a team
  • Ability to juggle priorities and to multi-task
  • Ability to change pace and think quickly when the pressure and demands are high
  • Ability to produce accurate, high quality correspondence, reports, presentation and spreadsheets. High attention to detail required
  • Able to work well under pressure and remain calm and professional at all times
  • High degree of common sense and able to make decisions and judgements without constant direction from the CEO. Being pro-active and taking ownership is a must
  • Strong writing and communication skills
  • Advanced in Outlook and Word. Intermediate in Excel and PowerPoint
  • Confident, discreet, reliable and trustworthy
  • A team player with a friendly attitude
