Job Description

Hybrid role 2 days in officeLocation - SW London4 Months temporary assignment with possible extension£11.60 p/hThe executive assistant role is an essential corporate role that supports the senior leadership to be effective in their roles. The role is designed to support members of the senior leadership (executive directors, director and assistant directors) to delivertheir tole in an organised way by providing a high- quality support service to assigned director(s). You will demonstrate an ability to handle multiple priorities and apply excellent attention to detail in the work that you do. You will anticipate the needsof the executive directors and show initiative in problem solving. As an executive assistant you will demonstrate high level of professionalism and confidentiality in the work that you do supporting our most senior leaders.The holder will establish and maintain relationship with assigned executive directors/directors/ assistant directors and their leadership teams. As well as this, collaborative relationships will be established with fellow executive assistants and team coordinatorsin order to share information and knowledge in a community of practice for the profession.Key Responsibilities

  • Act as the key point of contact and gatekeeper for assigned executive directors/director/Assistant directors.
  • Proactively mange the diary, meeting requests, external visit and speaking engagement and ensure schedules are organised and run smoothly.
  • Undertaking inbox management and responding to straightforward queries with oversight of the inbox, assist in the prioritisation of work where appropriate.
  • Priorities and mange incoming post/correspondence, including sensitive and confidential information for assigned senior leader; ensuring they are dealt with appropriately and responses in a timely fashion.
  • Proactively organise cost effective travel and accommodation.
  • Prepare and collate meeting documentation, including liaising with key stakeholders to gather content, ensuring a digital version is available head of the meetings. Where required provide secretariat support at directorate level meetings.
  • Coordination and research of information and relevant data to support the activities of the assigned senior leaders, including preparation of presentation as directed.
  • Raise purchase orders and ensure timely payment of invoices and complete other financial administration where needed.
  • Provide administrative support for people related processes. This will involve close collaboration with the relevant team coordinator or business manager.
  • Working with the team coordinators to support the effective Organisation of team events, including away days and team development days. Provide support to corporate projects, as required. imitate and lead on process improvements for dedicated areas of work.

You will have to provide references and pass a DBS check.
