Job Description

EXECUTIVE ASSISTANT TO THE CHAIRMANOF FAIRHOMES GROUP OF COMPANIESPlease note the role is based in GibraltarEntrepreneurial Chairman of a large group of international companies, operating in a range of sectors including Real Estate and Cosmetics, seeks a bright, enthusiastic Executive Assistant (EA) to work in the Group’s busy head office in Gibraltar’s World Trade Center. Although the title Chairman’ may portray the image of a senior CEO who has partly retired from a once very rigorous role, this is not the case here. The Chairman of Fairhomes Group is still the most invested, hard-working individual in the Group - hence the use of entrepreneurial’ at the beginning of this job description - and consequently the role of his EA is very demanding but incredibly rewarding.Outside the traditional Assistant/Secretarial duties (managing multiple calendars, coordinating complex travel and booking meetings, taking calls and being the first point of contact in the office for the Chairman) lies the opportunity to get involved in off the cuff, and often urgent, research tasks and duties for other departments within the group on behalf of the Chairman. This means a suitable individual for this role needs to possess an adaptive, intuitive mindset with a hands-on approach to completing tasks, even if they may seem outside of their role. The Chairman runs an exceptionally busy work and family life; in light of this, the right EA needs to have great time-management and organisation skills, but also quality intuitive abilities to make decisions in the Chairman’s best interest without his presence. Furthermore, in order to be able to fulfil all duties for the Chairman successfully, one must be rather tech-savvy. Although the Chairman appreciates the odd report printed, the office maintains a responsible approach to paper usage and as such most processes are carried out electronically. Finally, it would be a great bonus for the ideal candidate to have a good sense of humour. To summarise, the main duties for this role are as follows:

  • Manage the Chairman’s calendar effectively, setting meetings and follow-ups
  • Screen phone calls for the chairman using initiative, taking messages and redirecting to other colleagues where necessary
  • Maintain organised digital and paper-based filing system for the Chairman’s personal and professional documents
  • Co-ordinate complex travel itineraries for the Chairman and other executives and organise quarterly overseas company meetings (either virtual or in person).
  • Assistance with personal finance administration such as filing tax returns
  • Miscellaneous research for the Chairman
  • The ideal candidate will have the following skills:
  • Excellent organisation and time-management skills
  • Computer-savvy
  • Intuitive
  • Adaptable
  • Hands on and pro-active
  • Requirements:
  • Very comfortable using excel, word and outlook
  • Must have EA/Administrative experience in a EA/Secretarial role
  • Hold a full driving license
