Executive Assistant to CTO

Job Description

My client, a global organisation with offices across London, Europe and the US, are seeking an experienced Executive Assistant to provide support to the Chief Technology Officer and 2 Managing Directors in an incredibly busy and fast paced position! TheExecutive Assistant will play an integral role in ensuring that the CTO is set up for success and your primary mission will be to provide best-in-class executive support. Hours 9am - 5pm with flexibilty and hybrid working available.WHAT YOULL DO;

  • Provide executive support to the CTO and senior MDs
  • Extensive diary and inbox management
  • Organise all travel arrangements and preparation of itineraries
  • Liaising with external clients setting up meetings, calls, and visits as required
  • Scheduling internal meetings
  • Plan and prioritise the day and planning urgent requests around client needs
  • Answers calls and acting gatekeeper
  • Setting up conference calls, Teams, ZOOM and Skype meetings
  • Adhoc minute taking
  • Scheduling meeting rooms, meeting and greeting visitors upon arrival ensuring their requirements are met
  • Ensuring agendas are prepared and distributed in a timely manner
  • Prepare presentations and all meeting materials
  • Prepare and process monthly expense reports
  • Organise team events / internal off-site conferences
  • Support with the planning and execution of seating plans and desk moves
  • Tracking new hires and on boarding
  • Setting up of team training sessions as needed
  • Organise team social events
  • Provide holiday cover for the other EAs as needed
  • Occasional personal PA support
  • Other ad hoc duties and projects as required
WHAT YOULL NEED;
  • Previous EA/PA experience within a fast paced financial or professional services environment
  • The ability to navigate time-sensitive and rapidly evolving tasks.
  • Strong MS Office skills and tech savvy
  • Excellent communication skills with experience of building relationships across departments.
  • An entrepreneurial mindset, hardworking, and tenacious with a desire to be hands-on
  • Positive attitude and a solution-oriented mindset
  • Resilient and adaptable to change, proactive and quick to learn.
