Job Description

An exciting opportunity for an Senior Executive Assistant to join a growing firm for a 10 month Maternity ContractClient DetailsA financial Services Firm based in Mayfair.DescriptionKey responsibilities:

  1. Calendar Management: Scheduling meetings, appointments, and events for the executive. This involves coordinating with internal and external parties to find suitable times and locations.
  2. Email Management: Screening and responding to emails on behalf of the executive, prioritising messages, and ensuring that important communications are addressed promptly.
  3. Travel Arrangements: Planning and coordinating travel arrangements including flights, accommodations, transportation, and itinerary planning. This may involve both domestic and international travel.
  4. Meeting Coordination: Organising and preparing materials for meetings, including agendas, presentations, and necessary documentation. Taking minutes during meetings and following up on action items as needed.
  5. Administrative Support: Providing general administrative support such as managing expense reports, preparing reports and presentations, handling correspondence, and maintaining organisational systems and databases.
  6. Communication Liaison: Serving as a primary point of contact between the executive and internal/external stakeholders. This may involve answering phone calls, responding to inquiries, and relaying messages accurately and efficiently.
  7. Project Assistance: Assisting with special projects or initiatives as assigned by the executive. This could involve conducting research, gathering data, and providing administrative support to ensure project deadlines are met.
  8. Confidentiality and Discretion: Handling sensitive information with the utmost confidentiality and discretion. EAs often have access to confidential documents and discussions and must maintain strict confidentiality at all times.
  9. Time Management: Prioritising tasks effectively to ensure that deadlines are met and the executives schedule is optimised for productivity.
  10. Problem Solving: Proactively identifying issues or challenges and implementing solutions to streamline processes and improve efficiency in the executives workflow.
  11. Relationship Management: Building and maintaining positive relationships with colleagues, clients, and other stakeholders on behalf of the executive. This may involve representing the executive at meetings or events when necessary.
  12. Continuous Improvement: Staying informed about industry trends and best practices related to administrative support and seeking opportunities for professional development to enhance skills and knowledge.
ProfileSuccessful Candidate Will Have:
  • Proven experience as an Executive Assistant or similar role, demonstrating exceptional organisational and administrative skills.
  • Proficiency in Microsoft Office Suite and other relevant software applications, with the ability to quickly learn new tools and technologies.
  • Excellent communication skills, both written and verbal, with the ability to interact professionally with internal and external stakeholders.
  • Strong attention to detail and the ability to prioritise tasks effectively in a fast-paced environment.
  • Discretion and confidentiality when handling sensitive information and confidential documents.
  • Exceptional time management skills, with the ability to manage multiple priorities and meet deadlines.
