Job Description

Executive Assistant 1:2Salary: Up to £55k + fantastic benefits + bonusHours: 9.30 am - 5.30 pm (Currently all staff are working from home)Location: Victoria, SW1Our ClientOur client is a global financial investment management organisation. Everyone working here is driven by a shared vision:to inspire its people and clients to go above and beyond their abilities and boundaries, to always be ten steps ahead of the competition.About YouThis is a highly confidential position and we are looking for an experienced professional Executive Assistant to support 1 Board Member and an additional Senior Manager of a global team. You will be an extremely diligent and professional EA with vast experienceworking in a very fast-paced, busy financial services based organisation.Main Responsibilities

  • Deliver proactive, highly efficient support for the MD
  • High volume and complex diary management, including the creation of daily International schedules across multiple time zones
  • Gatekeeping and act as the first point of contact via email & phone
  • Frequent contact with a variety of people at all levels including senior stakeholders. Must be able to communicate at a very senior level without hesitation.
  • Coordinate large internal and external group meetings in conjunction with other assistants and third parties
  • Extremely detail-oriented international travel planning and bookings including roadshows (COVID permitting)
  • Create detailed expense reports
  • CRM Tool Management - Salesforce (Previous experience desirable)
  • Assisting and organising corporate events
  • Processing expenses and other administrative tasks
  • Network Management - Build and maintain professional relationships with internal and external stakeholders
Desired Skills & Experience
  • A minimum of 5 years of experience with previous experience supporting at C-Suite Level
  • Previous experience within a financial services organisation is preferred but not essential
  • Familiar with Salesforce or a similar CRM system
  • Exceptional communication skills, providing clear and consistent communication between the Directors, the wider team, internal departments and external parties
  • Being exceptionally proficient at using Word, Excel, Outlook, PowerPoint
  • Proficient at complex diary management to ensure smooth operational logistics
  • Organised, detail-oriented with a high level of attention to detail with the ability to act independently and with the utmost discretion
  • Discreet, able to exercise good judgement, tact, diplomacy and maintain confidentiality
  • Ability to work cross-functionally with other assistants when required but also independently
  • Excellent time management and organisational skills
  • Approachable and supportive professional with the ability to work in a fast-paced, ever-changing and pressurised environment
