Job Description

  • Develop content and theming of events in line with clients brief
  • Recommendations on new ways of hosting events
  • Drafting events proposals for new business pitch presentations
  • Drafting and management of operational events budgets
  • Supporting junior team members on event delivery
  • Delivering consistently excellent outputs on time and in line with client expectations
  • Face-to-face client contact - attend client meetings and lead agreed elements of the agenda and events delivery
  • Management and liaison with suppliers particularly photographers, production, branding and catering
  • Building sound working relationships with third parties, sourcing best and comparable quotes
  • Managing logistics for events on varying scales including conferences, debates, seminars, webinars, breakfast briefings, and round table discussion dinners
  • Preparing planning documentation, for both internal and external use, including project plans and timelines, running orders and technical run of show, plus briefing documents for third parties, and post event client reports
  • Staging and production - deliver a high standard of production to ensure the event runs smoothly working with a variety of agencies where required
  • Management of guest registration and arrival, providing recommendations based on the brief
  • Acting as a speaker liaison - source and secure speakers in conjunction with client teams. Develop briefing packs and speaker briefing calls to ensure speakers are fully prepared
  • Drafting content, speaker notes and scripts in association with campaign teams
  • Research, source, and secure venues/studios/platforms and keeping up to date with the opening of new ways of hosting events
  • Briefing account teams fully before, during and after the event to ensure they are aware of requirements and involvement
  • Identify and secure target attendees for events in conjunction with account teams and manage invitation correspondence
  • Timely and effective reporting - development of detailed wrap-up reports, event status reports and WIPs
ProfileThe successful Events & Project Manager will offer some solid experience in events management, with a strong track record of delivering high quality virtual, hybrid and physical events for corporate clients. This may include panel discussions, webinars,networking events and round tables.You will be confident at managing client relationships, liaising with suppliers, building out comprehensive operational budgets, drafting creative proposals that respond to client briefs and working closely with teams on delivery.In addition, youll offer experience of -

  • Strong attention to detail and process driven
  • Appetite for knowledge - of clients and sectors to provide insight and advice
  • Existing network of events and supplier contacts - on behalf of both clients and the agency
  • Empathetic with an ability to build strong relationships with colleagues, clients and the suppliers
  • Interest in attending networking events, seminars or conferences to develop personal and professional skills
  • A confident team player who can lead contributions in both client and internal meetings
