Job Description

Estates Support Officer (CAFM & Performance)The post holder will be expected to:

  • Be dynamic in their approach and flexible and adaptable to changing needs and priorities
  • Work proactively and support both management and frontline estates staff in delivering an effective service
  • Manage, control and update CAFM, ISO 9001 QMS, Estates handover records and drawings, Estates stores critical spares records and financial and procurement systems
  • Monitoring and reporting on work and maintenance progress and cost impactions
  • To have a full understanding of the Trust Financial and ordering system and procurement system
  • Maintaining , reporting and presenting work progress reports to Estates Management staff
  • Location: South KensingtonTemporary: Expected to last 3 months with possible extensionHours per week: 37.5 hours per weekSalary: £12per hour (Umbrella) or £10.75 per hour (PAYE)Experience:Essential:
  • working within a maintenance environment or in Healthcare premises or a similar large organisation.
  • Using a Facilities Labour Management System e.g. CAFM, or similar complex data management system.
  • Skills/Abilities/KnowledgeEssential:
  • Competent in use of Microsoft Office suite at a professional capacity and especially an advanced user of Microsoft Excel.
  • Developing work flow processes, managing large data sets and producing reports using Excel and graphs and Crystal reports
  • Demonstrable experience of working to challenging deadlines. To work co-operatively with skilled colleagues and under the minimum of supervision.
  • Excellent written and oral communications skills.
  • A wide range of computer skills with a advanced knowledge of a Labour Management, ISO 9001 QMS, HR, financial and procurement systems.
  • Key Tasks and Responsibilities:
  • Be the CAFM system super user, and administer training where required.
  • Provide support for the Helpdesk’ and using Estates CAFM system.
  • Updating and maintaining of CAFM system asset records and associated PPM schedules.
  • Interrogate O&M Manuals to extract relevant information regarding assets and maintenance schedules, hazards etc., & updating the CAFM system accordingly
  • Work closely with the CAD Draftsman in keeping the drawings & location records accurate and up-to-date.
  • Provide engineering management information support for the Estates staff
  • Liaise with outside suppliers and service maintenance providers to confirm and analyse information on tasks, frequencies, costs, etc
  • Support the Estates Asset coordinator by undertaking site asset surveys
  • Carry out surveys and audits of record keeping, information database systems, and advise/forecast on improvements or pitfalls to facilitate improvement.
  • Log into the Trust BMS and interrogate critical and non-critical alarms and communicate to Estates Engineering staff
  • Maintain secure, accessibly and auditable filing systems in accordance with ISO 9001 accreditation
  • Ensure record keeping systems are maintained
  • Ensure that the Estates Management information systems is being utilised and supported with auditing compliance within Estates Support Officers scope of duties and responsibilities.
  • Inputting and manipulating data into computer databases and spreadsheets
  • Carry out checks on service contracts on such things as specialist equipment or complicated maintenance contracts.
  • Provide administration services to support Estates Engineering and construction professionals with organising meetings, preparing reports on work progress and using the Trust HR, procurement and financial systems. Use all these systems to develop reports, tracks progress, analyse facts and figures and update systems accordingly.
  • Manage and maintain day to day departmental estates service database systems and information systems including quality processes and operational records, ordering, accounting, procurement, and data entry systems
  • Ensure the effective general office support is provided by keeping all office equipment in workable order
  • Receive and distribute post to the appropriate Estates Staff
  • Attend courses and seminars as required on or off site.
