Job Description

Property EA/PA to Senior Management£45,000-£50,000Location - CityExcellent opportunity for an experience EA/PA that has worked at Senior Management level ideally within Property/Real EstateAbout the CompanyThis leading Property Group is a privately-owned, residentially led property developer, specialising in the delivery of design-led, high-quality schemes throughout London and the South-East. Their portfolio covers high-end boutique developments, residentiallyled mixed use schemes and large regeneration projects. The company are growing rapidly and will continue to do so in a controlled manner. As such, the teams they assemble for our developments need to mirror our own standards and aspirations.OVERALL RESPONSIBILITY:Executive Assistant to provide hands on administrative and secretarial support to the CEO and the MD of this Small to medium size Property company situated in the CityKey ResponsibilitiesAct as first point of contact for all enquiries for information from the Managing Director, redirecting and responding as appropriate, and ensuring that all other tasks are completed to a high standard as required.Monitor the Managing Directors mailbox, prioritising issues to be dealt with for their attention.

  • Deal with incoming e-mails and post, often corresponding on behalf of the CEO
  • Manage and co-ordinate the CEOs diary for internal and external meetings, including all professional engagements and any other appointments, (including personal such as dentist, doctors etc.)
  • Maintain a schedule of Board, Executive Management meetings and others, ensuring agendas, reports and minutes are typed and distributed in a timely manner.
  • Ensure rooms are booked and refreshments and lunch are arranged with the Office Manager, when required
  • Produce documents, briefing papers, reports & presentations which will demand a high level of
  • competence with the Microsoft Office suite including Word, Excel and PowerPoint. (This involves proof reading, editing, and reworking these documents
  • Arrange event bookings, travel, and accommodation
  • Orchestrate and manage the organisation of high profile and critical meetings involving an extensive range of internal and external attendees
  • Accompanying CEO to some meetings, taking minutes and expedient distribution of appropriate information
  • Organising all inward and outward correspondence (letters, e-mails etc.) and filing for future reference
  • Editing and correction of speeches and written submissions
  • Manage expenses
  • Manage and control any budgets assigned to you, in accordance with agreed procedures and timetables. This will also involve the periodic negotiation of supplier contracts.
  • To maintain high standards of probity and confidentiality.
  • An element of dealing with personal business for the CEO
  • Maintain contacts database.
  • Delegating work to others on behalf of the CEO
  • Liaising with clients, suppliers and other staff as required
  • Ad-hoc administrative tasks
  • Work with the PA to the COO on various meetings / events
Requirements" Relevant professional qualification, or Degree level qualification preferred" Well presented" Excellent minute taker" Highly developed IT skills: Microsoft packages - Word, Excel, Outlook and PowerPoint" Excellent verbal and written communication skills" Experience working as an Executive Assistant or Senior Director level" Efficient and self-motivated" Personable and approachable" Exceptional and proven organizational, planning, and administrative skills" Calm under pressure" Works in a systematic and methodical way, focusing on right first time to minimise number of revisits on actions & activities" Receptive to change, embraces new challenges to quickly familiarize themselves in a new company in terms of organization and culture" Able to use initiative and solve problems" Discreet when dealing with confidential information" Flexibility around contracted hours may be required as business priorities demand" RSA typing qualification or equivalent.
