Job Description

The eDiscovery specialist will join the Legal eDiscovery & Data Advisory ("eDDA") team to help support a growing portfolio of work. Joining an experienced in-house team of data experts, the successful candidate will be a dedicated specialistresponsible for managing the end-to-end lifecycle of employee focused Data Subject Access Requests ("DSARS"). The eDiscovery specialist will be responsible for leading eDiscovery matters using industry standard models (e.g. EDRM) and acting as the functions DSAR subject matter expert. The successful candidate should have demonstrable experience in managing the specialistaspects of the DSAR lifecycle. A developed understanding of UK data protection law and be able to independently see a DSAR matter to its closure is required. The eDiscovery specialist will be responsible for coordinating internal and external parties, executing data collections on our systems,managing Relativity eDiscovery platforms, drafting document review protocols, and assisting the Head of eDDA manage the governance of the legal DSAR programme. In addition, the eDiscovery specialist will be responsible for assisting in the build and upkeep of Legals DSAR "playbook", including defining the banks approach to redaction, data scoping and review approaches. Responsibilities: • The development of an in-house capability to manage all employee Data Subject Access Requests ("DSARs"). • Build and maintain an effective and constructive relationship with all key business and functional stakeholders that is based on trust, capability, and integrity, providing timely, responsive, and quality support to enable the Bank to achieve its strategicobjectives. • Act as the single point of contact for all employment DSAR matters and assist in the creation / management of a repeatable DSAR playbook • Provide eDiscovery privacy advice on the execution and management of Legal DSARs • Maintaining and developing relationships with all key functional stakeholders, ensuring that the Legal functions requirements are aligned with the wider bank policy. • Providing timely advice to Legal colleagues on aspects of relevant legal discovery and disclosure frameworks. • Support the Head of eDDA, in ensuring the function remains aligned to the relevant Risk Management Framework. • Work with our external service providers to execute time-sensitive managed document review. • Support the development and growth of the function by acting as a trusted and experienced mentor. • Interfacing and directly representing the bank in front of data subjects and external counsel. Processes • Assist the relevant LCS colleagues in the development of proportionate DSAR and Legal data review methodologies by providing expert solutions and defensible recommendations. • Challenge and influence internal / external stakeholders on approach that should be taken on Data Subject Requests. • Independently execute data collections from the Banks systems in a quality controlled and documented manner. • Provide advice on specialist data minimisation techniques that ensure DSARs are managed in a cost-effective manner. • Ensuring the functions eDiscovery practice is carried out in accordance with all legal and regulatory requirements. • Responsible for the technical management and utilisation of eDiscovery technology solutions (e.g. Relativity) and providing training to other members of the function when required. • Supporting the Head of eDDA, in collation of MI, ensuring relevant management information and key performance indicators are provided to all key internal stakeholders. • Responsible for the technical management and utilisation of eDiscovery technology solutions (e.g. Relativity) and providing training to other members of the function when required. Risk Management • Apply all relevant Group, Country, Business or Functional policies and procedures to manage risks. • Responsible for the adherence and development of DSAR risk controls, ensuring the defensibility of all phases of the eDiscovery lifecycle. • Undertake periodic self-assessment on key controls to assess the proper functioning and adequacy of existing controls. • Act to minimise operational loss, audit failures, and take proactive measures to respond to matters arising. • In the event of serious regulatory breaches, or where risk tolerances have been breached, ensure senior management are informed and that actions are taken quickly to remediate, and activities are ceased Fundamental Requirements: • Professional Experience: At least 5-6 years in eDiscovery or privacy roles, particularly managing Data Subject Access Requests (DSARs). • Technical Expertise: Competent across the Electronic Data Reference Model (EDRM), with knowledge of eDiscovery concepts (inc. searching, analysis, review, and production) and toolsets such as Relativity. • Communication Skills: Excellent written and verbal communication abilities, with the knack for demystifying technical jargon for diverse audiences. • Data Protection Knowledge: In-depth experience with the UK Data Protection Act 2018 and compliance with ICO guidance. • Interpersonal Skills: Strong ability to engage and work collaboratively with global team members, demonstrating a blend of independence and teamwork. • Stakeholder Management: Demonstrated ability to manage diverse third-party stakeholders, including external counsel and technology vendors.
