Job Description

Key responsibilities:

  • Focus on reception, telephonist, and meeting room efficiencies on both floors.
  • Receive, screen, and direct all visitors to their appropriate meeting rooms providing refreshments when required.
  • Despatch of courier items, both internationally and locally, using internet-based waybill and tracking systems where necessary and maintaining associated logbooks.
  • Arrangement of taxi services for staff and visitors when required including the completion of logbooks for taxi services
  • Ordering staff and client, breakfast, and lunches.
  • Checking and approving of all invoices relating to the services provided by reception staff.
  • Being flexible with helping other teams in the company with daily/monthly tasks that may be set in quiet periods.
  • Answering incoming calls on digital telephone Zoom system, taking messages, screening, and directing calls and messages in an efficient and professional manner.
  • Co-ordinate the booking/provision of all associated audio-visual equipment for meetings in a timely and efficient manner, liaising closely with IT and Facilities as when may be required.
  • Ordering in a timely manner any food and beverage requirements.
  • Add all lunches deliveries, contractors, and other deliveries to the touch point system daily.
Background experience:
  • Professional and efficient attitude.
  • Used to working within a corporate environment.
  • Demonstrate longevity in previous roles.
  • Microsoft Office (Outlook, Word, Excel, Teams, Zoom) – intermediate level.
  • Use of web-based booking systems.
  • Attention to accuracy, detail and good time management.
  • Efficient usage of reception equipment.
  • Ability to interact effectively at all levels
  • Strong oral and presentation skills
  • Relating and/or working as part of a team.
