Job Description

Commercial WIP Manager London, UK £31,000 - £38,000pa* (depending on experience) 12month FTC + Hybrid working This role is responsible for the billing and WIP management on a portfolio of brands on the client account. You will be the gatekeeper of the jobs. You will have a close working relationship with your brand teams and with the Commercial Accountants (CAs),within the finance team. You will be responsible for all job openings and closings and ensuring that best practice is applied to job management throughout the life cycle of the job. You will be part of a dynamic team which is striving to ensure the best commercialpractice is at the heart of all agency business transactions.Key Responsibilities

  • Ensuring adherence to the job opening process
  • Ensuring timely management and follow up on jobs with brand teams
  • Explaining to brand team how the job processes work on a client and why
  • Regular meeting with brand teams to review WIP balances on open jobs & maintaining minutes of actions
  • Working with the CA to ensure best use of Maconomy for each brands specific needs
  • Billing to client on a timely basis, ensuring invoices are in line with client processes and internal processes
  • Keeping a log of Credit Notes and obtaining relevant sign off in accordance with the Credit Note policy
  • Advising the CA if client teams are not following internal processes or not making themselves available for WIP reviews
  • Reviewing open POs and advising teams to close where appropriate
  • Ensuring jobs are closed down correctly, when necessary, on a timely basis
  • Ensuring the Project Manager has signed off on each closed job and reviewed the profitability
  • Allocation of WIP balances on Maconomy
  • Reviewing FX gains/losses on the jobs and taking appropriate action to clear any balances
  • Requirements
  • Experience with Billings & WIP
  • Experience with Maconomy
  • An approachable, efficient person who is self-motivated and works well with both finance and non-finance staff.
  • A methodical approach is required to do this role effectively.
  • The role has a high level of repetitive tasks which need to be tackled with care and attention.
