Job Description

The Client Services Team (CST) provides ongoing, operational support to all our clients and the candidates we have working with them. We are currently recruiting for an Administrator to join the team on a permanent basis.

  • Location: Working from home with occasional requirement to work from our offices in Central London (Liverpool Street area)
  • Reports to: Client Services Team Leader
  • Working Pattern:Full time - 37.5 hours per week
Role Responsibilities:
  • Be the first point of contact for any inbound candidate queries via email and over the phone.
  • Ensure that candidate queries are handled professionally and efficiently, with a focus on delivering excellent candidate care and customer service.
  • Oversee, organise, and take ownership for multiple email inboxes.
  • Identify and escalate any urgent queries to management.
  • Completing all necessary administrative tasks for new joiners, leavers, and contract adjustments, in line with internal guidelines
  • Ensure candidate records are kept up to date and accurate on all related IT systems.
  • Coordinate provisioning of candidate IT equipment and access, including arranging courier deliveries and collections.
  • Support with first line IT issues and escalate to IT Helpdesk where required.
  • Liaise with third party suppliers as required.
  • Acknowledge and respond to external reference requests.
  • Take ownership for your own personal development, with a focus on continuous improvement.
  • Handle candidate complaints professionally and with empathy, ensuring that all relevant information is collected, and complaint is escalated.
  • Assist colleagues with any ad-hoc administrative tasks as required.
Role Requirements:
  • Some previous experience in an administrative role is essential.
  • Outstanding customer service skills are required.
  • Excellent interpersonal skills and confidence interacting with people from a wide variety of backgrounds.
  • Excellent written and verbal communication skills are essential.
  • Ability to handle difficult situations and conversations.
  • Highly organised with excellent time management skills.
  • Ability to work methodically and accurately with excellent attention to detail.
  • Ability to work under pressure and to tight deadlines, often balancing competing priorities.
  • Focus on equality and fairness, with the ability to demonstrate tact and empathy.
  • Must work well as a part of a wider team as well as proactively and on own initiative.
  • Excellent literacy and numeracy skills.
  • Strong IT literacy, with experience of using Microsoft Office programmes including Outlook, Word, and Excel.
  • Be able to demonstrate a willingness to be adaptable and flexible, responding to the needs of the wider business.
