Job Description

Central London COO £70,000Based in central London our client has asked us to find them a COO to be responsible for Finance & AdminThe finance duties look like thisFinance /COO related

  • Providing leadership, direction and management of the bookkeeper
  • Oversee production of monthly management accounts, including P&L, Balance Sheet and Cash flow and other ad hoc financial reporting, including event budgets and P&L.
  • Providing strategic recommendations to the GSC and Directors
  • Oversee the processes for financial forecasting and budgets.
  • Advising on long-term prospects and financial planning
  • Maintain relations with senior management, external partners and stakeholders
  • Reviewing all formal finance, HR and IT related procedures and implementing continual improvements as they see necessary
  • Maintain contractual relationships with external outsourced IT system
  • Oversee annual audit process working with external auditors
  • Ensure insurances up to date and relevant to the enterprise
  • Ensure appropriate leases for required premises
  • Manage the operational activities of the organisation.
  • (Staff management and performance management)
  • Induction for new GSC and Board members
  • Oversee all risk management and legal matters in relation to activities
  • Admin duties include
  • Facilitation and issue resolution and to participate in strategic decision making;
  • Working with GSC co-chairs to ensure correct focus and deliverables for the organization; conduct weekly meetings with co-chairs to inform on issues and updates;
  • Oversee relationships with outside legal counsel to protect the intellectual property of Protocol, maintain the organization’s historical records from inception;
  • Producing Memorandums of Understanding for bilateral relationships;
  • Plan and Organize yearly strategic planning sessions, too involved the GSC and the directors;
  • Ownership of website and liaison with appropriate resources;
  • Liaise with website development team to address and progress ticket items, identify, research and test issues;
  • Responsible for production website, updating current content, developing new content, adding and removing documentation. Monitoring budget for all projects and enhancements;
  • Initiate election process identifying candidates, seeking approval, obtaining background information, track and manage election results; and
  • Help track and manage elections and collate votes;
  • Help manage the overall technical proposal approval process and collate all votes received;
  • Provide on-going support for co-chairs and volunteers to drive initiatives; identify areas of cross pollination between groups;
  • Liaise with the regional director team to oversee the finance and marketing functions (in conjunction with the Board and GSC); and
  • And any other services as required from time to time that can be achieved by the Key Personnel within reasonable working hours.
