Business Support Officer (Diary Manager) Contract: June 2023Salary: £11.60 per hour (£15.36 after 12 weeks)Location: Westminster, LondonHybrid setting:This is a temporary contract role until June for a Diary Manager role with an immediate start date (Compliance dependant) for a two-month duration with a possible extension offering a hybrid work setting (two days in the office and rest from home) and a centralLondon location (Westminster).This a brilliant opportunity to work as a Diary Manager on behalf of our government client. As part of the User Experience & Insight divisions Business Delivery Team, you will provide support and diary management to the Deputy Director and support the componentparts of the division, promoting a quality service. You will play a central role in maintaining engagement and providing support across the division, working with the rest of the Business Delivery Team and work stream leads to organise divisional meetings and providing support for engagement activities. Youwill have a track record of fostering and maintaining good relations with a wide range of people. You will also be keen to test new ideas for improving communications and engagement, having the confidence and drive to learn from what doesnt work as well aswhat does. This work will be a challenging role and offers a wide range of opportunities to develop your experience whilst supporting our teams making a real difference to services for millions of citizens. You will join a team dedicated to developing your skills andcareer. Key Responsibilities: o Support the Deputy Director by managing the diary, organising meetings and agendas and papers in a digitally focused way. Ensure that day-to-day business for the Deputy Director is well-organised and appropriately prioritised o Resolve conflicting requests for meetings and prioritise using own initiative o Provide administrative and business support to the Deputy Director, including creation of slide decks, booking meeting rooms, travel booking, hotel booking etc Be a key point of contact for any interaction with the Deputy Directoro Provide support to line managers in ensuring all new starters have the appropriate equipment when they starto Co-ordinate regular all-division team meetings both virtually and face to face as necessary, helping to ensure these are interactive and engaging and make best use of available digital toolso Lead on the divisional approach to arrangements for colleagues returning to the office environment and supporting our flexible working approach.o Co-ordinate and play a proactive part in divisional Employee Engagement Group activities, including taking forward the People Survey Action Plano Provide administrative support for the divisional Reward and Recognition schemeo Contribute to key reporting activities, such as directorate COVID reportingOther dutiesThe post holder is required to work in a flexible way and undertake any other duties reasonably requested by line management which are commensurate with the grade and level of responsibility of this post.Essential Skills, Knowledge & Experience:Were looking for an enthusiastic and highly motivated person who meets the following essential criteria:o Good level of MS365 offering, including MS Teams, Outlook, Excel knowledge and expertiseo Experience of organising and facilitating large meetings, both virtually and face to faceo Good collaboration and stakeholder management skillso Be able to work unsupervised and be adaptable to changing timelines and demandso Ability to prioritise work against competing priorities in a fast-paced environment focused on timely and accurate deliveryPlease be informed if you are successful, we will need to run a compliance prior to starting, and communication needs to be consistent with the compliance team including DBS checks and references.
