Job Description

Arts Administrator, World Renowned Museum, London, temp role January - April, £14.99 p/h plus holiday pay.Our client, a world-renowned arts organisation based in London requires an experienced Arts Administrator starting early January 2024. The role supports the International Development Events team planning and delivering a diverse event programme of exhibitionopenings, patrons, development, and international event programmes.Main duties of this role are:

  • This role will not involve operational delivery of events
  • Provide diary management and administrative support for the Head of Dept
  • Planning and coordination of donor trips in Singapore, Venice and Norway
  • Drafting approaches for directors to send to donors
  • Sourcing images and copy, research and writing trip programmes to be sent externally
  • Planning and booking curator and director travel trips, researching and coordinating itineraries
  • Responsible for monitoring and updating databases, ensuring data is being logged correctly
  • Provide full administrative support for the team, inc updating the events calendar, creating, and managing guestlists, logging RSVPs and responding to guest queries
  • Assist at regular events, ranging from small dinners to large receptions
  • Manage large-scale mailings of invitations, pass cards and event programmes
  • Prepare & send regular internal communications regarding forthcoming activities and comms
  • Record minutes, prepare and print agendas, guest lists and notes for regular meetings
  • Support wider team with the administration of international trips and art fairs, including passes
  • Manage the team’s electronic and paper filing, stationery and stock
  • Carry out research projects as and when required by other members of the team
  • Accurately input data & event records on the databases and pull post-event analysis reports and occasional data update projects
  • Responsible for the financial administration of all events delivered by the team
Skills & experience
  • Coordinate financial data and exceptional accuracy in recording, processing within departmental budgets, managing invoice payments and expenses
  • Experience of using Customer Relationship Management (CRM) databases
  • Experience in writing fundraising approaches to HNWI
  • Proven administrative skills with experience in project management
  • Strong organisational, planning and problem-solving skills
  • Time management skills with ability to work flexibly, managing multiple tasks & priorities effectively
  • Excellent written and verbal communication skills, able to communicate diplomatically & effectively
  • High levels of accuracy and a keen eye for detail
  • Strong team player who can work collaboratively, positively and creatively with colleagues of all levels across the organisation
  • Computer literate, with fast and accurate word-processing skills and the ability to use Microsoft package (Word, Excel, Outlook, PowerPoint, MS Teams), Zoom, databases and internet applications
  • An interest and commitment to international arts
