Job Description

Title: Apprenticeship Administrator Location: LondonPay: £150 per day Duration: Full time, interimReed - Further Education are recruiting for an Apprenticeship Administrator for an FE College based in London.The post holder will be required:

  • To work as part of the construction department in delivery and quality assurance of apprenticeship programmes in the areas of Electrical, Plumbing and Carpentry and all commercial contracts with external partners.
  • To be responsible for all aspects of delivery, quality and quality assurance.
  • To support the Construction department and the Apprenticeship Manager by developing the curriculum area and by bringing new clients.
Main Purposes and ResponsibilitiesThe main purpose of the role is to:
  1. Support and collaborate with the Apprenticeship Administrator who will coordinate the sign-up process to ensure that the accuracy and compliance of the paperwork.
  2. Gather information about the apprentice and the employer and submit to the Apprenticeship Administrator
  3. Ensure the employer has created their DAS account and sent a copy of their ELI
  4. Visit apprentices in the workplace and during their College-based training programmes to conduct reviews and complete appropriate documentation for each trainee.
  5. Interview complete skills scans and initial assessments for new apprentices
  6. Induct apprentices at the start of their programme.
  7. Guide and support apprentices throughout their training.
  8. Help maintain the numbers of apprentices on the programme and to pursue opportunities to recruit additional apprentices.
  9. Liaise and share information with tutors over matters of attendance, reporting and trainee progress (including the production of termly Progress Reports).
  10. Support a team of assessors to ensure that regular reporting and trainee progress is monitored in line with apprenticeship requirements.
  11. Keep the Apprenticeship Manager aware of the progress of apprentices by attendance to MOTs for the area
  12. Liaise with the curriculum teams who are responsible for the training to facilitate work-based learning, ensuring that employers are fully involved in understanding and in facilitating the process. (E.g. Technical certificate, English, maths)
  13. Support the assessor/lecturer to monitor progress against the functional skills achievement as part of the quarterly review process
  14. Undertake work-based reviews, working in conjunction with the employer and Assessor.
  15. Work with the Apprenticeship Manager and Business Partnership Manager to develop effective and regular processes for gaining feedback from apprentices and employers to inform the self-assessment and quality assurance processes.
  16. Establish, nurture and develop strong relationships with key stakeholders both internally and externally.
  17. Work in conjunction with Business Partnership Manager to attend and arrange exhibitions and events to promote Construction & Engineering and support wider college employer engagement and events.
  18. Co-ordinate and track site visits for all work based learners.
  19. Manage and track assessor calendar entries.
  20. Liaise with awarding bodies regarding qualifications and certification. Managing and arranging and facilitating EQA visits with all awarding bodies.
  21. Develop and monitor the IQA schedule for all apprenticeship programmes.
  22. Manage co-ordinate and chair standardisation meetings with the work based learning team.
  23. Liaise with Exams Department/MIS and to monitor the claiming of achieved units/qualifications for each apprentice, ensuring that all required documentation is provided to ensure achievement is claimed in a timely manner
  24. Monitor and update Off The Job Training for all apprentices on programme, liaise with employers for their input.
  25. AM2 & EPA - monitor booking, monitor all costings for full EPA and re-sits. Liaise with employers regarding refreshers.
  26. Work with apprentices to conduct all pastoral inductions including all modules on Learning Curve(prevent, safeguarding, e-safety, British Values).
