Job Description

PMPPMP Recruitment are looking for an experienced Records Administrator to work for them with their client the Royal Mint.This position is temporary and expected to last around 24 monthsJob Title: Records AdministratorDepartment: Legal and Compliance (Finance)Reports to: Compliance OfficerJob Purpose:The role sits within the Legal and Compliance team which is part of the Finance department. As well as being responsible for specific tasks of their own, the Records Administrator will also support the work of the Compliance Officer in reviewing and developing The Royal Mints records management system to ensure that it meets business and operational needs and statutory and regulatory obligations.On completion of the project, the Records Administrator will assume responsibility for the day-to-day management of all aspects of The Royal Mints records management system. The Records Administrator will also be responsible for maintaining the day to day relationship with The National Archives, the Advisory Council on National Records and Archives and other associated agencies.Your responsibilities:

  • Support the work of the Compliance Officer in reviewing and developing The Royal Mints records management system, taking into consideration guidance from The National Archives (TNATNA) as part of good practice for information management under the Code of Practice.
  • Day to day management of the records management system, including training individuals on the importance of records management and adherence to the Public Records Act and associated statutory and regulatory obligations.
  • Maintain the day to day relationship with The National Archives (TNATNA), the Advisory Council on National Records and Archives, and other associated agencies.
  • Carry out the administrative tasks associated with the records management system in a timely and efficient manner.
  • Review records held by The Royal Mint with a view to determining the historic significance and those which should be permanently preserved at TNATNA, those which should be preserved in The Royal Mint Museum, and those which should be destroyed, , in accordance with our Data Retention Policy and obligations.
  • Prepare files for transfer to TNATNA and The Royal Mint Museum including by ensuring the access status under Freedom of Information has been determined, cleaning them in the appropriate manner, packing, labelling them in accordance with the standards set by TNATNA.
  • Arrange transfer of selected records to the TNATNA and The Royal Mint Museum, and the secure destruction of records not selected for permanent preservation, in accordance with our Data Retention Policy and obligations.
  • Perform such other duties as may from time to time be directed by the Compliance Officer.
  • Candidate requirements:
  • Demonstrable experience of defining and implementing a compliant Public Records Act framework and of embedding a culture of good records management is essential.
  • Demonstrable experience of working with record management systems, the provisions of the Public Records Act and related legislation is essential.
  • Previous experience of the application of meta data, record transfer to TNATNA, and use of DROID is desirable.
  • Strong analyticalanalytical and project management skills is desirable.
  • Must demonstrate a sensitivity to historic records when forming judgements on their archival value.
  • Enthusiastic and a self-motivator able to work well independently and able to champion a good information management culture across the organisation.
  • Must be able to communicate effectively with colleagues, internal stakeholders and external contacts both verbally and in writing.
  • Experience in the Microsoft Office package including SharePointSharePoint is essential.
