Venesky-Brown’s client, a public sector organisation in Livingston, is currently looking to recruit an Operations Administrator for an initial 3 month contract on a salary of £23,735 - £26,631per annum. The working hours for this role will be 37 hoursper week, Monday to Thursday, 0830 – 1700 and 0830 – 1630 on a Friday and 35 hours beyond 01 April 2024Responsibilities:- Log and distribute incoming mail to relevant staff member- Process application forms including recording and acknowledging receipt of- Accurately input data from Fund application forms into Ici system ensuring all necessary information is provided- Liaise with applicant if further application details are required- Scan forms and attach to system- Ensure progress of applications meet operational and policy guidelines providing administrative backup throughout- Maintain effective file management in line with GDPR and policy- Ensure adequate stock of all forms is available at all times- Assist with processing of external mail including use of franking machine- Act as the first port of call for enquiries, providing an excellent telephone response service and provide guidance or direct call as appropriate- Pro-actively engage with and provide information to all relevant contactsEssential Skills:- Good level of experience within a similar role including significant experience in customer relations- Excellent customer service skills and telephone manner- Previous experience of entering data into a database or spread sheet- Detail oriented and with a good eye on accuracy of data- Friendly and helpful attitude- Flexible and able to prioritise a changing to-do list- Confident in managing and completing tasks to deadlines- Self-motivated- Ability to work independently and as part of a team- Well-honed organisational, planning and time management skills- Awareness of ILF Scotland policies and procedures (training provided)- Awareness of equality and diversity issues, in particular disability- PC literate including Word, Excel and databases- Child and vulnerable person protection awarenessIf you would like to hear more about this opportunity please get in touch.
