Job Description

My client, a global legal firm is looking to recruit a Project Administrator to join the Projects Team. The role will be supporting Global Outsourcing which is an exciting, dynamic and fast-growing environment. Their clients are typically large organisationsthat require us to provide a suite of services on a year-round basis. In all cases, there are multiple deliverables occurring on a cyclical basis.In our growing Project Management Office (PMO) team we have a governance framework and a project support team of PMO Co-ordinators and Administrators working at a variety of levels, along with a team of Project Managers. We are now looking for a projectAdministrator to help our continuing growth and strengthen our team delivering across multiple internal and external projects.This role would suit a candidate with administrative experience, in particular good organisational skills and attention to detail.This will be a challenging and rewarding role where you will:

  • Inbox and email management, responding to queries from clients and international teams and ensuring that items are actioned on timely basis.
  • Maintaining project management documents including action logs, issues logs, risk registers and lessons learnt logs
  • Writing up notes and actions following meetings and calls
  • General administrative tasks (e.g. booking team meetings and setting up conference calls)
  • Creating deliverable calendars / deadline timetables
  • Ensuring timely filing and archiving of completed project documents and tasks
  • Building and maintaining client portals (full training will be provided)
  • Data entry - setting up of vendors on clients accounting systems
  • Interacting with clients and colleagues as necessary in a professional and timely manner
  • Support central PMO team and provide cover for other PMO Administrators as necessary.
Skills Required:Some administration experience is required for this roleAbility to plan and prioritise in order to meet deadlinesGood verbal and written communicationTeam playerAttention to detailAbility to identify and solve issuesProficient in MS Office suite of programs, especially Word and ExcelA level or equivalent qualificationsGCSE English at grade C or aboveDesirable:
  • Previous experience of providing administrative project support
  • Experience of using Microsoft SharePoint portals
  • Experience of Thomson Reuters OneSource Workflow Manager
Excellent benefit package, competitive salary with 6 month salary reviews, 25 days + bank holidays, pension, mon-thurs 9-5pm, Friday 4pm finish
