Job Description

Our client is at the forefront of innovative cancer care with their UK network of cancer centres. They provide the most suitable, state-of-the-art cancer treatment and an exceptional level of care to every patient. The centres deliver high-quality diagnostic imaging and the latest in advanced cancer treatments including radiotherapy, chemotherapy, immunotherapy and, in the future, proton beam therapy across all centres.To date, our client has three cancer centres open, two of which currently offer access to proton beam therapy, and a further four new centres planned in the next four years making a total of eight cancer centres around the UK. Their aim is to provide the majority of patients with a state-of-the-art cancer centre within a ninety-minute journey of their front door, wherever they are in the UK.Job PurposeThe Personal Assistant (PA) is required to support the Centre Manager in the execution of duties and oversee/supervise the centres administrative support. The PA must demonstrate, tact, diplomacy and the ability to handle confidential information in a professional manner. The post requires a proactive, forward thinking individual able to combine a professional manner with an approachable demeanour. The individual will need to exhibit the high level of organisational skills, written communication, and attention to detail, vital to this role. The PA will also be required to provide operational management to all administrative areas on behalf of the Centre Manager.Main duties and responsibilities

  • Provide direct administrative support to the Centre Manager.
  • Day to day diary management for Centre Manager and local SMT.
  • Organise meetings and conferences as directed ensuring necessary documentation is sent out to attendees prior to meeting and produce accurate records of meetings and appointments when required.
  • Arrange travel schedules and accommodation for local SMT.
  • Control of expenses and time management to ensure timely and efficient claiming and recording of expenses and processing of timesheets.
  • Occasional travel to other locations when required, to support the Centre Manager in meetings and events (which may from time to time require an overnight stay).
  • Assistance with administrative projects and ad-hoc duties as directed by the Centre Manager.
  • Maintain local personnel files (including electronic versions).
  • Register sickness and absences on HR database.
  • Maintain accurate record of all clinical licenses on HR Database.
  • Monitor and update all relevant DBS licenses on HR Database.
  • Maintain and control induction training and associated progressive training for all staff.
  • Maintain Staff Training Register and ensure all staff remain in date for appropriate mandatory training.
  • Maintain register of interests and hospitality in line with Company Policy.
  • Adhere to all HR policies and support the Head of HR in delivering these locally to support managers and colleagues on a daily basis.
  • Manage and co-ordinate applications from Consultants and Allied Health Professional applications for Practising Privileges.
  • Maintain certification requirements for Consultants and Allied Health Professionals in line with regulatory body requirements.
  • Create, register and maintain Framework agreements for local requirements.
  • Person Specification - Essential RequirementsQualifications and Registration
  • Substantial PA/secretarial experience.
  • Advanced IT skills, fully conversant with software packages NT Windows, Outlook, Microsoft Word, Microsoft Excel, PowerPoint.
  • 5 years’ experience in a senior/similar role.
  • Proven experience within a Healthcare environment.
  • High level of organisational, diary management and prioritisation skills.
  • Excellent communication skills with both internal and external customers at all levels.
  • Ability to work independently and as part of a team and manage own workload.
  • Excellent interpersonal skills.
  • Ability to work under pressure and meet deadlines.
  • An understanding of and empathy with the needs and aspirations of others.
