Job Description

Band 3/4 NHS Temporary Staffing Rostering Administrator (depending on Allocate or rostering experience)I am currently recruiting for Temporary Staffing Administrator with previous NHS experience using the Allocate or a similar staff rostering system who is available to start a temporary role immediately.Location: LiverpoolTemporary: Expected to last 3 months with possible extensionHours per week: 37.5 hours per weekSalary:Band 3 - £11.30 (Umbrella) or £10.81 per hour (PAYE inclusive) depending on rostering experienceBand 4 - £12.00 (Umbrella) or £11.20 per hour (PAYE inclusive) depending on "Allocate" experienceThe successful role holder will be responsible for a wide range of administrative tasks and be able toKey Skills:

  • Experience using NHS rostering Systems (Allocate, Healthroster, E-Roster)
  • Highly organised with administrative experience in a NHS Temporary staffing setting

  • IT literate with competency in Microsoft applications

  • individual must be able to touch type to 40 wpm and must not be related to anyone in the Trust due to the confidential nature of the work.
  • Must be personable and able to interact with challenging people and have good customer service type skill.
  • Duties will include but not limited to the following:
  • Be the first point of contact for temporary worker queries around the booking and managing of rosters and temporary vacancies.
  • Answer all incoming calls & emails on the bookings desk in a timely, polite and professional manner, including those related to deployment or pay.
  • Understand the needs of all different staff groups covered by the roster and temporary staffing service, including but not limited to; Nursing and Midwifery, Admin & Clerical, Medical, AHP & HSS and Estates and Facilities, within the hospital to ensure appropriate staffing is matched to the original booking request.
  • To ensure all requests for shifts have been processed through the correct authorisation procedures.
  • To ensure that information regarding bookings is communicated to all relevant personnel in good time. Effectively liaise with temporary bank members, ward managers, clinical nurse leads, agencies and/or clinical site managers out of hours’ as necessary.
  • To raise issues regarding the fulfilment of shifts to senior team members as required.
  • Use the rostering system to help managers create rosters and match requests for staff with suitable bank members wherever possible.
  • Advise managers on process for booking agency workers and getting approval to use framework agencies.
  • Liaise with the clinical site managers at the start and end of each week day, to hand over all worker bookings and outstanding shifts for the current and following day, including providing an effective quality handover for the out of hours’ evening and weekends/Bank Holidays.
  • Adhere to all Trust policies and procedures in relation to booking substantive, bank and agency staff, including all HR and rostering Policies.
  • Follow agreed trust timeframes to liaise with the Trust’s approved framework agencies in order to fill bookings promptly and to liaise with relevant Clinical leads/Managers to ensure suitability of applicants supplied by agencies.
  • Maintain communication with external temporary staffing providers including those agencies the Trust has a Service Level Agreement with.
  • Ensure efficient responses to shift requests are maintained in both placing workers for wards/departments and identifying the need of an external agency placement.
  • Input data onto the relevant booking system in accordance with the agreed processes and the priority bookings system and in a timely and accurate manner.
