Job Description

Weddings and Events CoordinatorFor an exquisite group of award-winning hospitality venues. This role consists of event planning and being there on the day to coordinate the event, delivering exceptionalexperiences and creating lifelong memories.Overview of the role:

  • Our Sales team will contract and confirm an event and then will hand over to the Weddings and Events department to then plan the finer detail of each event
  • The type of events you will plan and coordinate range in complexity, which include traditional and Asian weddings, corporate and student balls, private dinners, corporate conferences and meetings, birthday parties, baby showers, wakes etc.
  • You will work closely with the client to finalise details of their event ensuring we are providing a personal and stress-free pre-event experience. You will build a strong rapport and trust with the client as their event day approaches.
  • Enhancing the client’s experience, picking up on golden nuggets of information and being able to surprise and delight!
  • Ensuring the billing details are correct and payments are in within a timely manner
  • You will be there to coordinate the event on the day to ensure the smooth delivery alongside our banqueting team who will run the show on the day!
  • A brief overview on what coordinating an event on the day can look like (it can be varied depending on the event) includes welcoming the organiser and their guests, ensuring everything is running on time throughout the day, collecting the bride from herbedroom, ensuring the music is playing during a ceremony, placing name cards and favours out on tables. We like to go the extra mile when we can, which can include little extras like lending a tissue to the bride as she gets teary, putting on buttonholes forthe groom and groomsmen and many more…
  • A brief overview on what non-event days can include opening up The City Rooms and ensuring it looks presentable, answering client/team emails and calls, attending internal meetings, final details meetings with clients (these can be face-to-face, via Teamsor telephone), sending out function sheets for the 2 weeks ahead, creating floor plans, creating pass sheets, encourage past clients to leave reviews of their events, being involved in various projects, contacting suppliers etc.
  • Maintain and continue to improve processes and procedures, where required
  • Actively look for opportunities to upsell to maximise revenue opportunities
  • Understand and continue to grow your knowledge on the current market trends
The successful candidate will:
  • Have previous experience in events within the hospitality industry and/or educated within hospitality management or event management (operations and/ or event planning)
  • Be enthusiastic, committed, have a hands on approach and happy to take on a challenge
  • Ability to work under pressure while being organised with a high level of attention to detail
  • Have the natural ability to deliver exceptional experiences and always wanting to exceed the experience of our clients
