Job Description

The Recruitment Group are looking for an experienced Administrative professional for their learning support company based in Leicester City Centre.Job PurposeTo provide effective administrative support to the coordination team and ensure all stakeholders who contact The Learning Support Centre receive excellent customer service.Main Duties and responsibilities

  • All visitors should be asked to sign in, offered a drink and shown where the toilets are located
  • Be the first point of call for the LSC main phone line and answer calls in a timely manner referring calls to the relevant personal as required
  • All enquiries should be logged on the Client Relationship Manager (CRM) database
  • Build knowledge base to aid response times
  • Meet response times in line with The Learning Support Centre Quality Assurance Framework (QAF)
Administrative
  • Provide administrative support as delegated by the Management and Coordination team
  • Data input - adding clients details and timetables and any other data entry required.
  • Supporting the coordinators in managing client and staff enquires
  • Ensure information is kept accurate and up to date to meet audit requirements
  • Support the coordination and management team with funding and timesheet approvals queries.
Office Maintenance
  • Ensure the office is kept presentable to visiting clients
  • Maintain stocks of office consumables
  • Maintain leaflet stands and noticeboards
  • Liaise with stakeholders as directed by the management team eg. Landlord, electrican, alarm, cleaner etc.
Development of policies and procedures
  • Contribute to the identification, development and review of policies and procedures;
  • Reviewing and updating health and safety policies and risk assessment and ensuring they are observed.
Working with senior management
  • Attend regular meetings with senior management.
  • Contributing to the organisation of events (e.g. training, conferences, exhibits).
Customer service
  • Responding and dealing with customer enquiries in line with our QAF.
  • Ensure feedback is sought and circulated to relevant stakeholders.
  • Maintain a high standard of presentation whilst representing The Learning Support Centre Ltd.
General
  • Confidentiality should be respected to agreed disclosure levels.
  • Ensuring that all personnel do all that is reasonably practicable to maintain a safe and healthy work environment, having regard to appropriate risk assessments and ensuring compliance with company and statutory requirements and advise accordingly.
  • Inform The Learning Support Centre of any problems that are either work related or effect your work, the company can then support your situation.
  • Represent yourself and the company in a professional and service orientated manner. This includes adhering to our stringent policies including those on confidentiality, data protection and safeguarding.
  • Actively managing personal development in agreement with the Account Manager.
