Job Description

As a Receptionist you will be at the front lines of the office, responsible for creating a positive and organized atmosphere. You will serve as the initial point of contact for clients, employees, and visitors, contributing to the smooth operation of thebusy office.Client DetailsBustling and dynamic office environment, where efficiency, professionalism, and welcoming customer service are paramount. Currently seeking an experienced and adaptable Receptionist to join the team and become the friendly face that sets the tone for theoffice.DescriptionKey Responsibilities:

  1. Greeting and Assisting Visitors: Welcome and assist visitors with warmth and professionalism, making them feel valued and at ease.
  2. Phone and Email Management: Answer and direct incoming calls, take messages, and promptly respond to inquiries. Manage the companys general email account effectively.
  3. Appointment Scheduling: Schedule and confirm appointments, meetings, and conference rooms for employees and guests, ensuring a well-organized schedule.
  4. Administrative Support: Provide essential administrative support to various departments, including managing mail and packages, coordinating deliveries, and monitoring office supplies.
  5. Security and Access Control: Oversee access to the premises, maintaining security and safety protocols and ensuring only authorized personnel enter the office.
  6. Visitor Badges: Issue visitor badges and maintain a visitor log for security and tracking purposes.
  7. Information Dissemination: Share important information, announcements, and updates with employees and visitors as needed.
  8. Office Appearance: Keep the reception area organized, clean, and professional, creating a welcoming atmosphere.
ProfileThe succesful Receptionist will have:
  • High school diploma or equivalent; additional education or training in office administration is a plus.
  • Previous experience as a receptionist in a busy office or a similar customer-facing role is preferred.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Exceptional organizational and multitasking abilities.
  • A professional and friendly demeanor with strong interpersonal skills and a customer-focused attitude.
  • Discretion and the ability to handle sensitive information with care.
  • Familiarity with office security procedures and access control is advantageous.
