Job Description

Office AssistantLocation: Leicester, LE1Salary: £18,000 - £21,000 DOE Hours: Full time, Monday to Friday 9-5:15pm with 1 hour lunch breakPermanent VacancyFlowers Associates are looking for an experience administrator or office assistant to join a reputable, trustee pensions company in LE1. The main objective of this role is to coordinate the office and internal staff members with their working day as well asbe the warm, professional, face of the company when clients visit. This role would ideally suit someone who has the ability to organise proficiently and oversee the day to day running of a busy office.This role not only offers the Office Assistant a supportive, friendly, and professional working environment with internal progression but, also, the opportunity to study a range of Chartered Insurance Institute qualifications, paid for by the company with mentorsupport and additional time off for exams.The Role:The Office Assistant will be responsible for the organisation of all general office duties and overseeing the office, promoting organisation and efficiency.The successful Office Coordinator will be responsible for but not limited to the following duties:

  • Manage and prioritise own workflow and outstanding tasks
  • Maintain a full and efficient diary system, book meeting rooms, log appointments on the internal systems for all members of staff to utilise
  • Be in charge of the parking rota for the company car park, ensuring efficiency at all times for internal staff members and visitors
  • Meet and greet visitors and Clients, making refreshments and providing a warm, professional welcoming to all
  • Prepare meeting rooms to a high standard of cleanliness and organisation
  • Organise outside contractors to resolve any issues within the offices, such as, electricians.
  • Basic administration and receptionist duties including but not limited to, photocopying, typing, utility meter readings, filing, bind reports, lamination of documents, ordering of business cards, updating internal database systems on internal member ofstaff details, etc.
  • Complete bank reconciliations and spreadsheet analysis every morning
  • Ensure the stationary stock room is fully stocked and every staff member is fully equipped, placing orders when necessary
  • Assist Administrators and Financial Teams with basic administration duties when necessary
  • Communicate professionally with internal Clients, Financial Advisors, Solicitors, Accountants, HM Revenue & Customs, Fund Managers, Insurance Companies and other Professional connections via phone, email, letter, and fax, ensuring they are directed to thecorrect team or member of staff
  • Ensure all legislative requirements and compliance are adhered to in line with the internal procedures and the HMRC, including but not limited to, organisation of confidential waste disposal and collection
  • And any other duties required within reason of this position
The ideal Candidate will:Be able to build strong relationships with everyone in the business as well as the Managing Director, displaying excellent communication skills, both verbal and written. The ideal Office Assistant will be able to monitor their own workflow and prioritisationof outstanding work, with the initiative to be one step ahead of the teams all the time. Previous experience in an administration/office setting is preferred, with the ability to maintain a full and efficient diary system and present outstanding customer serviceskills. Finally, the ideal candidate will have proven, strong IT skills, Microsoft package knowledge such as Excel to formula level. If this sounds like you then please apply!Employee Benefits:
