I am currently seeking an experienced Receptionist to join the front of house team of a professional services company based in central Leeds. The successful applicant will be an experienced Receptionist, you will have a professional and approachable manner along with excellent communication skills.Duties will include:Operating the switchboard, transferring calls quickly, efficiently and politely for the office and overflow calls from the other officesTaking messages where necessary and forwarding them to the appropriate personsCovering the reception areas at all times, greeting clients and visitors taking care that they are looked after and generally ensuring that their experience of the firm is a positive oneHandling incoming faxes and distributing them promptlyMaintaining the reception areas to ensure that they are tidy and that there is sufficient literature availableCo-ordinating the meeting room bookings, preparing rooms for use, providing appropriate refreshments* and stationeryManaging taxi / train bookingsManaging national and international courier bookingsBooking parking spacesSupervising all meeting rooms in the reception area; liaising with various internal departments to ensure the required equipment is availableHandling client enquiries and forwarding them to the relevant person as necessaryTraining any reception coverOrdering catering for lunches/breakfast meetingsProviding cover for Administration including;Collecting, sorting, franking and recording post and DXDelivering and collecting post and other items internally and externally as requiredEnsuring the post rooms and common office areas are kept tidy and organised, including kitchens, store rooms and corridorsEnsuring printers, photocopiers, and stationery cupboards are fully stocked and paper and toner is readily available at all timesArranging recycling of old tonersEnsuring that all general office equipment is in good working order and maintained, recording and reporting faultsTransporting boxes and other items, involving some lifting and carryingAssisting with archivingOverseeing the drinks machines to ensure they are stocked and operating correctlyCarrying out day to day reprographics duties utilising both black and white and colour copiersLiaising with external reprographics company for any outsourced requirementsScanning documents, laminating, burning CDs and bindingEnsuring that all copying jobs are finished in line with the instructions given, including collating, stapling and bindingRecording incoming work and prioritising effectively in order to meet deadlines, maintaining communications with the originator as to completion times where necessaryProcessing and posting cheques via Royal Mail
